Job summary

Allscreens Nationwide Ltd in Cardiff is seeking an experienced receptionist/administrative assistant for a primary care practice, with thorough knowledge of practice procedures and ability to work to written protocols.

You will manage patient registrations, handle telephone queries, process prescriptions, enter data, maintain confidentiality, and support health and safety, equality, and quality commitments.

Responsibilities

  • Registering new patients and updating computer records.
  • Process repeat prescription requests in line with guidelines.
  • Answer telephone queries and direct calls to the appropriate person.
  • Maintain orderly reception areas and ensure security at close of day.
  • Signpost patients to the appropriate healthcare professional and manage appointments.

Job description

Have a thorough knowledge of all Practice procedures.

  • Work in accordance of written protocols.
  • Amalgamate newly registered patient's notes on receipt to the practice.
  • Fax and photocopy as required.
  • Scan patient correspondence onto computer records where applicable.
  • Provide patients with test results over the phone or in person in accordance with practice guidelines.
  • Receive and signpost patients in reception.
  • Handle prescription requests and distribute completed prescriptions.
  • Deal with telephone queries and transfer calls to the appropriate person.
  • Do any other appropriate tasks commensurate with role.
Appointments
  • Signposting patients to the most appropriate healthcare professional and process appointment requests.
  • Deal with visits requests in accordance with practice guidelines.
  • Enter patient's details on the computer for telephone triage by the duty doctor.
Utilising clinical software system
  • Registering new patients.
  • Computer data entry and updating medical records where applicable.
  • Process patients change of address computer data and medical records (have knowledge of practice area).
  • Process repeat prescription request in accordance with practice guidelines.
  • Update patients computer records in accordance with practice guidelines.
Telephone system & premises
  • Utilise the telephone system to communicate with patients and stakeholders.
  • Ensure building is alarmed and secure when leaving at the end of the day.
  • Any other tasks allocated by managers.

Health & Safety:
  • Using personal security systems within the workplace according to practice guidelines.
  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks.
  • Making effective use of training to update knowledge and skills using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards.
  • Reporting potential risks identified.
