Permanent - 25hrs
Shift Pattern: Monday to Friday predominantly 8am to 4pm.

As our Administration Assistant, you’ll provide comprehensive administrative support to the Care Home and Head of Care, including coordination of the care home daily diary, ensuring a professional and efficient service is provided at all times. This also includes access to our online portal which has a variety of resources to aid personal development & free access to LinkedIn's online learning platform.

You’ll help us make health happen by:

  • Maintaining DoLs applications - tracking progress and chasing applications as required.
  • Entering incidents, accidents, complaints and compliments on the Datix system.
  • Ordering relevant supplies, maintaining an accurate inventory of all medical equipment and ensuring adequate stock levels at all times, including stationary, paperwork forms and all relevant documentation.
  • Updating and maintaining all relevant systems and electronic files, including the rota for payroll and agency staff hours.
  • Following Head of Care or Village Manager approval, you’ll process the booking of agency workers, ensuring accurate information on all workers is obtained.
  • Supporting with funding applications and care home enquiries, ensuring the relevant systems are updated accordingly.
  • Assisting with telephone handling, including taking enquiries from residents, staff and visitors, acting as a receptionist to the Care Home as required.
  • Supporting residents with external medical/health appointments, ensuring transport is booked where required.
  • Dealing with residents’ post, ensuring the correct authorisation is obtained.

Because we care for vulnerable people, we’ll need you to complete a DBS check as part of the recruitment process. Bupa will cover the cost of this (£40).

Key Skills / Qualifications needed for this role:

You hold a minimum of 5 GCSEs (or equivalent) at Grade C or above (including English and Maths) and a Level 3 NVQ in Business Administration. Experience of working within a care home environment would be advantageous. With previous experience in an office environment, you’re confident using Microsoft Office, specifically Word and Excel. Friendly and professional, both face to face and over the phone, you’re organised and able to work well within a team. With a dedicated and efficient work ethic, you thrive in a busy environment and are able to handle a varied workload.
