To perform a variety of duties in the coordination of service for both clients and care professionals whilst providing the highest quality of service to both.

Responsibilities

  1. Understand and build effective and efficient schedules around our clients and Care Professionals.
  2. Ensure schedules are prepared, considering travel time, holidays, training, and last-minute cancellations.
  3. Be responsive to changes in the schedule and liaise with relevant team members.
  4. Match Care Professionals to new clients in conjunction with the client services team and arrange introductions.
  5. Ensure client schedules are matched to their needs, with the same Care Professional and the same times each week, where possible.
  6. Develop excellent relationships with both clients and Care Professionals to foster positive experiences.
  7. Work with the recruitment team to ensure sufficient current and future staffing levels.
  8. Collaborate with the Care Team to resource and schedule new and existing care packages timely.
  9. Conduct Care Consultations, Risk Assessments, and develop Care Plans.
  10. Carry out quality assurance (QA / Service Review) visits.
  11. Participate in on-call duties during weekdays and one in four weekends.
  12. Add and maintain all client and Care Professional information on the electronic scheduling system.
  13. Perform any other duties necessary for the successful operation of the business.
  14. Ensure compliance with Home Instead’s Equality, Diversity, and Equal Opportunities Policy in employment and service delivery.

Qualifications

  • Experience in a scheduling role within home care or relevant environments such as logistics.
  • Proficient in IT systems, including Microsoft Office or Google Suite, and CRM software, with the ability to learn new technologies.
  • Highly resilient and positive, with excellent communication skills.
  • Excellent organization and prioritization skills, able to work calmly and accurately under pressure.
  • Strong interpersonal skills to build rapport quickly, team player.
  • Excellent attention to detail and ability to multi-task.
  • Logical and analytical with the ability to work independently and meet deadlines.
