Job description

Our client is a small but growing investment firm seeking a skilled C-suite EA to support two senior team members. The team is friendly, passionate, and hardworking, requiring someone proactive, calm, confident, and professional. Experience liaising with UHNW clients and attention to detail are essential.

Key Responsibilities:
  1. Managing complex diaries across multiple time zones, including scheduling meetings, adding relevant correspondences, notes, and managing time effectively.
  2. Organising multi-stop travel itineraries: flights, transfers, visas, accommodation, restaurant reservations, etc.
  3. Inbox management: prioritising emails and responding appropriately in a timely manner.
  4. Acting as gatekeeper and point of contact.
  5. Building and nurturing relationships with UHNW clients.
  6. Managing IT/tech needs and preparing documentation for meetings.
  7. Taking notes/minutes during meetings and collating action points.
  8. Preparing reports and documentation as needed.
  9. Maintaining an efficient filing system.
  10. Preparing Board paperwork.
  11. Assisting with internal and external events, socials, and dinners.
  12. Managing expenses and invoices.
  13. Conducting research as directed.
  14. Providing ad hoc support to the wider team and private PA support for the CEO.
Candidate Profile:

The ideal candidate will have previous experience supporting at Founder, CEO, or C-suite level, preferably in finance, investment, or a family office. Longevity in roles and experience working with UHNW individuals are important. The role is office-based four days a week with one day from home, with some flexibility outside working hours. There is significant scope for growth for the right person.
