We are currently recruiting for a Buying Operations Assistant to work based in Billericay, Essex on a full-time, permanent basis.

This role will involve working from the office 3 days a week and from home 2 days a week.

Primary purpose

To provide accurate administrative support to the Buying teams, ensuring the smooth cycle of the buying process. Act as a systems expert and super user, offering training and support to the Buying teams.

Key responsibilities
  • Manage supplier correspondence, including ticket files, labeling details, and new actions from the Buying team, meeting deadlines.
  • Raise validated POs from Range Plan and send the PO sheet to suppliers.
  • Authorize amendments to POs on Mercatus and reissue PO sheets to suppliers as needed.
  • Update event tracking comments weekly with agreed actions and update Mercatus.
  • Cross-reference product and order details, check packing scans, update systems, and log product images in the library.
  • Monitor housekeeping reports, highlight issues with Buyers, and amend Mercatus entries as necessary.
  • Collate information on new reactions and top 30’s for sharing with the Buying team, and add product images to Trade sheets.
  • Support facilities with managing DHL inquiries and deliveries to ensure weekly packages are sent and received.
  • Assist with sample management, including filing approved samples.
  • Build new data reports to support efficient workflows for the Buying teams.
  • Serve as systems experts and ‘super users’.
  • Train new starters and support the Buying team with system capabilities and knowledge gaps.
  • Complete price-point data spreadsheets upon request.
  • Prepare and display samples on boards for meetings, ensuring a professional presentation.
  • Support onboarding of new brands as required.
