We are recruiting a Buying Administration Assistant to support purchasing activities, ensuring smooth operation of the regional office and procurement processes.

The role involves assisting the Regional Buyer and management team in procuring materials, plant, PPE, and services, alongside providing administrative support to the office and business functions.

Responsibilities include:

  1. Assisting with purchasing and hiring of materials, plant, PPE, and vehicles
  2. Sourcing quotes and maintaining supplier logs
  3. Raising and managing purchase orders
  4. Entering delivery notes and managing invoices
  5. Resolving invoice queries with suppliers
  6. Maintaining the Contracts Asset Register and PPE Register
  7. Researching environmentally and socially responsible products
  8. Managing incoming calls and visitors
  9. Handling mail and administrative tasks
  10. Organizing transport and accommodation
  11. Supporting with POs, delivery records, and vehicle hire
  12. Contributing to maintenance schedules and asset management
  13. Providing cover for team members

Requirements:

  1. Experience in buying or administration, preferably in construction or civil engineering
  2. Proficiency in Microsoft Office
  3. Ability to use procurement software and office equipment
  4. Strong organizational and communication skills
  5. Professional telephone manner
  6. Attention to detail and deadline management
  7. Collaborative and adaptable attitude
  8. NVQ Level 3 in Business Administration or similar, or relevant experience
