Summary
We are looking for a highly organized and detail-oriented Buyer / Office Administrator to manage procurement activities and provide administrative support across the office. This role is essential to ensuring efficient purchasing processes, vendor coordination, and smooth day-to-day office operations.
Job Description

Key Responsibilities:

Purchasing / Buyer Duties:

  • Source and evaluate suppliers to ensure best quality, price, and delivery terms.
  • Create and manage purchase orders in line with company budgets and inventory needs.
  • Track and follow up on orders to ensure timely delivery and resolve delays or discrepancies.
  • Maintain supplier relationships and negotiate pricing, terms, and contracts.
  • Monitor inventory levels and collaborate with relevant departments to forecast needs.
  • Maintain accurate purchasing records and documentation.

Office Administration Duties:

  • Manage general office operations, including supplies, mail, equipment, and facilities maintenance.
  • Greet visitors and coordinate meeting room bookings and staff calendars.
  • Maintain filing systems, databases, and office documentation.
  • Assist with data entry, invoice processing, and reporting.
  • Support HR or finance with administrative tasks as needed (e.g., onboarding, payroll coordination).
  • Ensure compliance with company policies and health & safety regulations in the office.

Required Qualifications:

  • Proven experience in a procurement or administrative role (1–3 years preferred).
  • Strong organizational and time-management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication and negotiation skills.
  • Attention to detail and accuracy in data entry and record keeping.
  • Ability to multitask and adapt in a fast-paced environment.

Preferred Qualifications:

  • Experience with purchasing and MRP software.
  • Familiarity with inventory management or supply chain processes.
  • Supply Chain Management, or related field.
