Job description

Business Support is a dynamic team supporting various departments across the local authority. We provide a comprehensive administrative support service that includes management of service requests, handling of incoming calls, organisation of workflow and management of internal processes.

As a member of Business Support you will be expected to undertake some or all of the following tasks (dependent on the service area you will support):
• Assisting the Senior Business Support Officer with staff recruitment, allocation of work including providing advice, support and daily supervision. Managing staff resources in relation to absence to ensure business continuity
• Supporting the Senior Business Support Officer in identifying and implementing improvements and changes to the service, developing Standard Operating Procedures and upskilling staff appropriately
• Maintaining and developing systems, creating new users and allocating access. Having responsibility as a superuser / admin for specific service systems
• Take a lead in the financial administration for the team
• Undertake all activities in relation to the organisation of meetings, including the transcription of notes
• The use of a variety of systems across the authority – including hybrid mail, the use of Teams channels and Microsoft solutions.

This is an agile post, working from home and regularly working from an office base. The post holder will supervise a small team of three, and support the work of Families First, Flying Start, Early Years and Childcare within the Children, Young People and Families Directorate. This is a key role in ensuring support services and their clients, including management of reception at Heart of the Valleys Integrated Children's Centre, processing of referrals, purchasing, supporting various meetings and panels and developing internal processes. The post holder would need to demonstrate a high degree of accuracy, flexibility, excellent time management skills, attention to detail and strong communication skills when collaborating with wider services and the team.

We are looking for team players who have the skills, experience and flexibility to enable them to prioritise and manage several tasks within a busy fast paced environment, both within the office and whilst working from home. Exceptional IT skills, including working with MS 365, Office and Teams are essential attributes.

The position carries an Approved Casual Car User Allowance, therefore access to a vehicle for work purposes is a requirement. Thorough pre-employment screening is undertaken during the recruitment process.
