Job description

The post holder will work within the Chief Operating Directorate supporting the Deputy Chief Operating Officer, Partnership Operations Director for Mindworks, and the Chief Operating Officer as required. They will be responsible for providing high-quality, confidential, and efficient business and administrative support in a timely and professional manner. The post holder will support their teams in managing internal and external relationships and in achieving their objectives, enabling effective leadership of the organisation. They will be a key team member ensuring the smooth running of the Chief Operating Officer Directorate.

Duties

Main duties of the role include:

  • Organising and managing documentation for meetings and events, including preparing agendas and minutes, tracking actions, and managing timeframes. Attending meetings to take minutes as directed by the line manager.
  • Serving as the first point of contact for the Partnership Operations Director for Mindworks, and as needed, for the Deputy COO and COO, handling internal and external enquiries.
  • Ensuring the Deputy Chief Operating Officer and Partnership Operations Director for Mindworks are briefed and have the necessary documentation for meetings and events.
  • Organising and producing reports, papers, presentations, and similar documentation within organisational timeframes.
  • Providing effective diary management, prioritising appointments and commitments to ensure schedules run smoothly, using independent judgment to balance demands.
  • Supporting meetings by organising, attending, and minuting ad hoc meetings and corporate or divisional events, including sending invites and securing facilities.
