Job summary

Leonardo UK Ltd in Luton is seeking a proactive Personal Assistant and Business Support Coordinator to keep the office running smoothly and provide executive support to the VP. You will coordinate meetings, manage travel, ensure facilities and IT are operational, and support a wide range of business operations within the Future Combat Air area.

You will liaise with UK and international stakeholders and contribute to process improvements, records management and intranet updates.

Qualifications

  • Proven experience in a Business Support Coordinator, Personal Assistant, or Office Manager role.
  • High level of professionalism and discretion, with confidence to engage senior stakeholders.
  • Strong organisational and time management skills with ability to manage multiple priorities.
  • Excellent interpersonal skills and ability to build effective working relationships.
  • Collaborative, team-focused approach with the ability to influence others.

  • Advanced proficiency in Microsoft Outlook.

Responsibilities

  • Coordinate meetings and events with UK and international stakeholders, partners, and customers.
  • Manage conference and meeting facilities; ensure IT systems and connectivity are operational.
  • Oversee office resources, including procurement and maintenance of equipment and services.
  • Support site projects and manage relationships with external suppliers and contractors.
  • Assist with policies, documents, reports and presentations.
  • Organise business travel and events with bookings and logistics.
  • Monitor and replenish office supplies as needed.
  • Maintain accurate records including contact lists and directories.
  • Support time recording processes, including SAP MyTime and CATTS.
  • Create and maintain Business Area intranet pages.
  • Support internal communications, events, content updates, and briefing materials.
  • Collaborate with the wider business support team and provide cover as required.

Job Description: Your impact

Join us as a Personal Assistant / Business Support Coordinator and become a key part of a dynamic Future Combat Air business area. In this role, you’ll help keep a busy office running seamlessly by coordinating administrative activities and ensuring people, information, and resources are well managed. From maintaining accurate records and streamlining processes to organising meetings, events, and IT requirements, you’ll play a vital role in day-to-day operations. You’ll also provide dedicated executive support to the VP of the Business area, managing their schedules, travel, and expense claims. This is a unique opportunity to gain exposure to a fast-growing and busy area of the business and develop a strong insight of the Future Combat Air Line of Business. You’ll work closely with the Leadership Team, providing proactive support across a wide range of business and operational activities.

What You’ll Bring

It would also be great if you had experience working with a wide range of internal and external stakeholders across different levels of seniority and Intermediate to advanced skills in Microsoft PowerPoint and SharePoint but not essential. This is not an exhaustive list, and we are keen to hear from you even if you might not have experience in all the above. The most important skill is a good attitude and willingness to learn.
