Job summary

NHS Greater Glasgow and Clyde (NHSGGC) is seeking a permanent, full-time administrative professional to provide comprehensive secretarial and secretarial support within the Specialist Children’s Services Business Support Team at Queen Elizabeth University Hospital. The role requires independent work, strong service understanding, and proactive task management.

Key duties include audio typing, minute-taking, records management, and handling referrals.

Qualifications

  • Strong organisation, communication and workload management skills.
  • Holds a recognised Administration qualification such as HNC in Secretarial Studies or SVQ Level 3 in Administration.
  • Competent with a range of computer packages (ECDL or equivalent).

Responsibilities

  • Provide comprehensive secretarial and administrative support.
  • Process referrals and maintain accurate records.
  • Manage telephone calls, enquiries and emails.
  • Undertake audio typing and minute-taking.
  • Collate and update micro-strategy data using electronic patient management systems.
  • Carry out ad hoc administrative duties to support service delivery.
  • Work closely with Senior Business Support Assistants and progress operational tasks.
  • Prioritise workload to meet service demands.

Job description

The role:

The post forms part of the Specialist Children’s Services (SCS) Business Support Team, providing comprehensive secretarial and administrative support to the In-Reach and Specialist Children’s Services teams. The role involves working independently for much of the time, requiring a strong understanding of the services supported, while contributing to a wide range of administrative and secretarial functions.

All roles will be assessed for sponsorship eligibility in line with current Home Office requirements. NHS Greater Glasgow and Clyde (NHSGGC) can only issue a Certificate of Sponsorship (CoS) where these are met.

Duration, Location, and Working Pattern:

Permanent, full-time

Shift Pattern - 9 am- 5 pm Monday - Friday and 8 am- 4 pm Monday- Friday

Base location - Queen Elizabeth University Hospital

Key responsibilities:
  • Provide comprehensive secretarial and administrative support.
  • Process referrals and maintain accurate records.
  • Manage telephone calls, enquiries, and emails.
  • Undertake audio typing and minute-taking.
  • Collate and update micro-strategy data using electronic patient management systems.
  • Carry out ad hoc administrative duties to support service delivery.
  • Work closely with Senior Business Support Assistants, providing updates and progressing operational tasks.
  • Prioritise workload effectively to meet service demands.
  • Contribute as an effective member of the wider business support team.
Knowledge, training, qualifications and/or experience required to do the job:
  • Competent in the use of a range of computer packages, demonstrated through experience or qualifications such as ECDL.
  • Holds a recognised Administration qualification, such as:
    • HNC in Secretarial Studies or Business Administration, or
    • SVQ Level 3 in Administration, or
    • Significant relevant equivalent practical experience.
  • Good knowledge of office procedures and administrative systems.
  • Previous experience in a secretarial or administrative role.
  • Strong organisational, communication, and workload management skills.
  • Full induction and on-site training will be provided.
