Job description

We are seeking a confident and enthusiastic administrator to join our busy team, primarily providing support to the Family Safeguarding Team within Children's, Families and Community Health. This role is based at Wat Tyler House in the town centre, with a hybrid working model involving both office and remote work.

The team supports Service Managers, Team Managers, Social Workers, Family Support Workers, and Adult Workers, aiming to assist their work with children in need, children on child protection plans, and children subject to care proceedings. Key responsibilities include:

  1. Arranging, attending, and taking notes at meetings, including monthly Family Supervision meetings for each Social Worker, with real-time recording in the children's case management system.
  2. Handling telephone queries, signposting or forwarding messages to relevant colleagues, and managing stressful situations involving vulnerable clients, with appropriate recording on databases.
  3. Formatting court reports according to specified requirements and producing letters, including legal correspondence, with high attention to detail and accuracy.
  4. Managing petty cash and using procurement cards for work-related purchases, alongside supporting financial tasks for the team.
  5. Handling highly sensitive information with resilience and demonstrating confidentiality and discretion in all dealings, including calls, reports, legal documents, and data entry.
  6. Performing general administrative duties such as saving documents, scanning, recording post, and distributing reports received via email.

The ideal candidate will demonstrate excellent ICT skills (particularly with Microsoft Office), strong customer service and communication skills (both written and verbal), the ability to prioritise and multitask, and work independently and collaboratively.

Fluency in English is required as part of Part 7 of the Immigration Act for customer-facing roles. We encourage applicants who meet most of the criteria, as individual experience, skills, and passion are valued.
