Business Support Administrator

We are looking for an enthusiastic, flexible and self-motivated Administrator for our 0-19 Business Support team based at the Civic Offices in Portsmouth. Free parking is currently available.

The successful candidate must possess excellent verbal and written communication skills together with IT skills. The ability to work to tight deadlines is also an essential requirement of this post. You will need to be a resourceful and organised administrator and capable of delivering high quality administrative support. Knowledge of Children's Services would be preferable.

You will have a caring and courteous manner and enjoy working with and meeting people. You will also need to be able to work unsupervised and display initiative, whilst working autonomously or as part of a team. You will be working within the 0-19 service and working in liaison with clinicians and families. Duties will include referrals, reports, uploading onto S1, and booking appointments as well as other administrative tasks such as filing, answering the phone, scanning, photocopying. We are seeking a highly motivated individual who can work effectively using their own initiative.

This post is for 22.5 hours per week.

Main duties of the job

Send emails in accordance with Hampshire and Isle of Wight Healthcare NHS Foundation Trust guidance for sharing patient identifiable data. Distributing emails to team members.

Liaising with schools, to ensure accurate record keeping of school aged children's registration at schools.

Monitor generic email inbox and action / distribute as required.

Act as first point of contact to all visitors, i.e. health professionals, identifying their requirements and making an appropriate response.

Attend meetings in other locations as required.

Use computer data bases and spreadsheets to record and report data and email for communications.

To ensure that all policies for both computer and manual records are complied with

Photocopying and electronic filing accurately and securely

Register all new referrals on to our Patient System (Systm1)

To produce and print correspondence and letters from Systm1, ensuring that all such documents are accurate, well presented and sent in a timely manner either by post or email

To synchronise, update, scan, search and maintain Systm1 records according to the Standard Operating Procedure.

Transferring in and out electronic records on Systm1 of clients moving in and out of the area.

To input/update on Systm1, including any changes to patient details and ensuring information is passed onto all relevant parties.

Other duties as necessary appropriate to the post and to meet the changing needs of Hampshire and Isle of Wight Healthcare Foundation Trust.
