We are looking for an exceptional Business Coordinator / Hybrid Office Manager.

This role involves back-office responsibilities and supporting the commercial director in business development and sales.

The ideal candidate will be competent in prioritising tasks with minimal supervision. They will be driven, self-motivated, proactive, and trustworthy.

The Business Coordinator / Hybrid Office Manager will ensure the smooth operation of the business, facilitate order delivery, and contribute to sustainable growth.

Responsibilities

  • Assist the sales team by managing enquiries and distributing information
  • Ensure smooth project execution by handling orders, organizing collections, shipping, and deliveries
  • Manage phone calls and correspondence effectively
  • Support budgeting and bookkeeping activities
  • Oversee import procedures and adhere to policies and protocols
  • Manage relationships with suppliers (products, stationery, transport, couriers, etc.)
  • Prepare reports and presentations as needed
  • Handle administrative tasks such as proformas, invoices, and delivery notes
  • Manage and distribute samples
  • Assist the director with business development initiatives
  • Identify efficiency opportunities and optimise procedures to support growth
  • Assist in planning and executing marketing activities

Requirements

  • 2-5 years of experience in administration or back-office roles within small B2B businesses
  • Interest or understanding of sales and marketing processes
  • Flexible and eager to contribute across various areas of the business
  • Excellent communication and organisational skills
  • Proactive with a strong sense of initiative
  • High attention to detail
  • Proficient in Office; Photoshop and SquareSpare are advantageous
  • Hands-on approach suitable for a small business environment
  • Willing to take on additional responsibilities as the role evolves
  • Understanding of social media platforms
  • Strong business acumen
  • Knowledge or experience with import trading procedures
