This is a fantastic opportunity for an organised and people-focused Business Centre Coordinator to play a central role in the day-to-day running of a Civica facility. Reporting to the Facilities Manager and Health and Safety Manager, you will ensure the smooth, safe, and secure operation of the site while creating a professional and welcoming environment for colleagues, customers, and visitors.

This role is part-time, working two days per week onsite.

Responsibilities

  1. Be a trusted point of contact for colleagues and visitors, ensuring a warm and professional welcome.
  2. Ensure the workplace is safe, secure, and well-maintained, overseeing health & safety, environmental management, and emergency response.
  3. Coordinate daily operations of the Business Centre, maintaining high standards of presentation and efficiency.
  4. Manage meeting rooms, booking systems, and support workplace technology use.
  5. Support audits and ensure compliance with internal processes and regulations.
  6. Liaise with contractors, suppliers, and the Facilities Team to support building maintenance and security.
  7. Promote Civica's values by fostering a positive workplace culture and continuous improvement.
  8. Manage time effectively and proactively resolve issues.

Requirements

  • Strong communication skills with a professional, courteous manner—both face-to-face and in writing.
  • Self-motivated, organised, and proactive in identifying and addressing needs.
  • Knowledge of Health & Safety procedures and commitment to safety.
  • Ability to work independently and build strong relationships with colleagues and external partners.
  • Excellent organisational skills and attention to detail, especially in managing facilities or responding to incidents.
  • Proficiency in:
    • Microsoft Office applications
    • Workspace and meeting room booking systems
    • Managing stock and office supplies
  • Flexibility and a hands-on approach, willing to stay until tasks are complete.
  • Previous experience in a customer-facing role, ideally front-of-house, is preferred.
