Business Administrator - Medical Directorate

To ensure the maximum effectiveness of the Directorate by planning and managing diaries and providing proficient secretarial, office management, personal assistant, and support services. Responsible for delivering efficient, effective, and professional administrative support to the Trust. Undertaking a wide range of administrative tasks as directed, maintaining excellent customer service and work standards to uphold and enhance the reputation of the Administration Services team.

Main duties of the job

The Business Administrator will provide efficient, effective, and professional administrative support to a Director or group of Directors. Responsibilities include:

  • Organising the daily operations of the Directorate office
  • Understanding the priorities of the Executive/Director and interpreting these through planning and diary management
  • Scheduling and following up on commitments made by the Executive/Director

Job responsibilities

Responsibilities include:

  • Managing the Directorate office's daily operations
  • Understanding and interpreting the priorities of the Executive/Director to facilitate planning and delivery
  • Scheduling and tracking commitments
  • Establishing and reviewing effective administrative protocols within the directorate
  • Assisting in developing and maintaining policies and systems
  • Representing the directorate and making delegated decisions
  • Managing delegated budgets
  • Organising health & safety measures, including fire safety, first aid, and reporting maintenance issues
  • Engaging in Trust-wide policy development
  • Taking on some responsibilities of the Administration Coordinator/Manager and deputising when necessary

The Executive Assistant/PA will work independently with discretion, developing systems within broad guidance from the Executive/Director.
