Contract Type: 18 month fixed term with potential to extend

This role offers the chance to develop general office support and business administration skills while earning a Level 3 Apprenticeship in Business Administration. You will gain transferable knowledge, skills, and behaviors applicable across sectors, supporting your progression towards office management responsibilities.

You are responsible for

  1. Performing general administrative tasks to support the smooth operation of the office.
  2. Managing agendas and diaries as required.
  3. Organizing meetings, conferences, and events.
  4. Handling mail, scanning, processing, and arranging travel plans including hotels.
  5. Maintaining databases.
  6. Ensuring tender documents have the required wet signatures and meet deadlines.
  7. Supporting the Operations Excellence Managers with tasks from the GBS transition.
  8. Managing cheque administration and invoicing.
  9. Booking meeting rooms.
  10. Supporting credentialing processes for field staff.
  11. Raising purchase orders.
  12. Processing expenses and supporting other administrative activities as needed.

You are a part of

a supportive office administration team, reporting to the General Management Executive Assistant.

To succeed in this role, you should have the following skills and experience

  1. Level 2 English and Maths or willingness to acquire before the end point assessment.
  2. Excellent verbal and written communication skills.
  3. Proficiency in MS Office Suite (Outlook, Excel, Word, etc.).
  4. Attention to detail.
  5. Flexibility in managing stakeholders and tasks.
  6. Ability to manage a varied workload.
  7. Initiative and drive to succeed.
  8. Diplomacy due to sensitive tasks.
