About the role:

As part of the Hydro Assets & Portfolio Engineering Team, the Business Administration Trainee will:

  • Deal with external phone calls, greet all visitors to the site, book conference rooms, arrange on site conference facilities and monitor and manage deliveries on site.
  • Prepare and deliver reports as required to the Management team e.g. training plan progress, annualised hours usage, toolbox talks issued.
  • Minute taking at various meetings, circulating to deadline, and maintain suitable records, including the tracking of actions.
  • Assist with the arrangement of the on-site routine occupational health assessments for all staff, adhering to the principles of confidentiality.
  • Obtain quotes, raise requisitions/purchase orders, good receipt in Maximo and deal with invoice queries.
  • Maintain accurate records of training activities, and prepare regular reports including budget spend, training metrics, participants rates and program effectiveness.
  • Assist with the efficient delivery of the stores function including stock monitoring, replenishment and rotation.

Who we’re looking for:

To be successful in this role you’ll ideally have:

  • The ability to work under pressure, to meet deadlines and as part of a team or as an individual with excellent organisational and communications skills.
  • Strong interpersonal skills, with the ability to build and manage relationships with colleagues, senior management and external stakeholders.
  • Basic knowledge of Health, Safety and Environmental legislation.
  • Comfortable with change and constantly seeking new ways to advance performance.
  • Willing to work towards an HNC or SCQF Level 5 and 6 in Business Administration.
  • A basic working knowledge of Microsoft Outlook, Office.
