Branch Office Representative
to manage administrative processes, coordinate office operations and support our local engineering and consulting teams.
As a Branch Office Representative, you will be the first point of contact for local stakeholders and oversee the day-to-day administration of our branch office. Additionally, you will take over responsibility for the local proposal coordination, including providing essential administrative support throughout the proposal and contract process, ensuring data accuracy and efficiency.
What You Can Expect Branch Office Representative
Serve as the first point of contact for local stakeholders and organizations, universities, and network partners
Oversee day-to-day office operations, ensuring a smooth and efficient working environment
Act as the liaison between our corporate back office functions (Marketing & Communication, Facility, IT, HR, Finance) and the local office
Manage office inventory in accordance with Rosenxt’s Marketing Guidelines
Plan and coordinate office infrastructure needs (e.g. waste management, energy consumption) in collaboration with the Facility department
Organize and manage office supplies and equipment to support daily operations
Welcome and assist new employees during their onboarding process
Proposal and Contract Administration
Maintain and update proposal and contract information in the Rosenxt Business Software
Register projects, inquiries, proposals, and contracts/Purchase Orders
Ensure data accuracy by performing regular quality checks and requesting updates as needed
Facilitate effective communication with internal teams to ensure a smooth proposal process
Keep track of referenced projects, including services, pricing and related details
Preparation of proposal and contract materials
What You BringTo become part of the Rosenxt family, you are capable of working independently without supervision. Moreover, you should bring with you:
Degree or diploma in Business Administration preferable
Several years of experience in office administration, HR and proposal support
Strong organizational skills with proactive and structured approach
Ability to manage multiple tasks and communicate effectively with internal and external stakeholders
Proficiency in Microsoft Office and experience with business software application (ERP)
Experience in using accounting software (like Xero, MYOB or equivalent)
