The role:

The Board Support Assistant role is critical to the smooth functioning of the corporate governance framework, providing clear, informative, and timely communications and robust record keeping to enable senior stakeholders to operate effectively with full administrative support.

Working closely and collaboratively with the Board Support and Operations Manager, other Board Support Assistants, and Non-Executive Directors (NED) and Meeting Support Assistants, you’ll provide dedicated administrative and logistical support to boards of directors, the Group Executive Committee (“GEC”), and the wider Company Secretariat team, ensuring the effective and timely coordination of meetings, documentation, and governance processes.

What you'll be doing:

Key responsibilities are split into three areas:

Agenda and Board paper management

  • Own the production of board and committee packs allocated to the role holder through to final publication, including liaising with NEDs, Meeting Support Assistants, and the Board Support and Operations Manager to ensure agendas align with meeting logistics.
  • Liaise with the Secretary and Company Secretariat members to update agendas as needed.
  • Coordinate with owners/sponsors of agenda items to confirm deadlines and paper submissions.
  • Issue formal calls for papers, track governance processes, and manage expectations around timing.
  • Review papers for errors and ensure cover sheets are accurate.
  • Format, upload, and distribute meeting papers via SJP’s Board portal.
  • Assist with meeting preparations, including attendee communications and technical support.
  • Draft agendas and minutes as needed, manage action lists, and communicate outcomes post-meetings.

Corporate administration and Company Secretariat operations

  • Update annual planners, maintain confidential contact databases, and coordinate approvals and governance documentation.
  • Support the development of operational systems, tools, and processes within the team.
  • Maintain assets like entity structure charts and support other administrative needs.
  • Familiarity with corporate governance and supporting senior executives in a regulated environment is preferred.
