The Role

To manage the administration within the Secretariat & Governance function & provide PA support to the Head of Secretariat & Governance

Principal Accountabilities

  • To manage and delegate Secretariat administration including tasks received from the Head of Secretariat & Governance and the Deputy Company Secretaries
  • To be responsible for organising and co-ordinating all Lloyd's governance meetings including managing the meeting invitations, attendance list, catering and the use of secure conference call software
  • To be responsible for organising the yearly overseas Council meeting and managing the expense process for the Non- Executive Directors
  • To be the main contact for any logistic queries regarding governance meetings whether that be internal or external
  • To deal with telephone and email administration enquiries including contact with members of the Council, senior management and their PAs
  • To manage the administration of processing Secretariat invoices, Non-Executive Director fees and expenses
  • To manage the administration involved in appointments, leavers and re-appointment for Non- Executive directors
  • To provide PA support to the Head of Secretariat & Governance including diary management, team holiday management, assisting with new starters, managing team meetings and any ad hoc tasks/events/projects
  • To act pro-actively in identifying and implementing innovative procedures and solutions to ensure the most efficient provision of administrative support is provided to the function
