Job Purpose

To support the CBBC Board and Chief Executive and maintain an efficient and productive office.

Key Responsibilities

  1. Liaise with Board Members to coordinate Board meetings, ensuring timely distribution of papers.
  2. Draft Board and Executive Committee meeting minutes from recordings using appropriate technologies.
  3. Work with Finance Team to prepare briefing and longer reports (e.g. Annual Report and Quarterly KPIs).
  4. Provide diary, travel and other administrative support to the Chief Executive, assisting on special projects.
  5. Coordinate CBBC staff to provide briefing materials for the Chief Executive’s external meetings.
  6. Ensure effective document control and retrieval.
  7. Coordinate emergency drills and other ad hoc health and safety related duties.
  8. Coordinate procurement of stationery and other office orders.
  9. Manage CBBC enquiries mailbox, drafting replies to straightforward queries and reallocating others.
  10. Handle documents requiring notarisation (will require occasional visits to FCO and Chinese Embassy).
  11. Produce supporting documents for Client and CBBC staff visa applications for business travel.
  12. Provide a courteous office reception service (jointly responsible for main phone switchboard cover).
  13. Greet visitors, serving refreshments and ensuring meeting rooms are kept tidy and stocked as necessary.

Essential Skills

  1. Exceptional verbal and written communication skills, and some conversational Mandarin is very desirable.
  2. Confident, courteous and assertive in handling C-level stakeholders.
  3. Strong self-management and organisation skills, ability to work to deadlines and attention to detail.
  4. Proactive, adaptable and practical approach to problem solving.
  5. Ability to maintain absolute confidentiality and discretion.
  6. Adept in using Microsoft Word, Outlook, PowerPoint and Excel.
  7. Self-motivated and willing to be flexible on working hours when business needs dictate.
  8. Creative, willing to learn and a team player.
  9. Willingness to adapt and participate in/support team activities outside of the “core role” as required.
