Job summary

BSI in Milton Keynes is seeking a Billing Specialist to join Finance Business Services. This full-time, permanent role focuses on end-to-end invoicing and credit note processing across an assigned portfolio, in a hybrid working setup.

You will collaborate with Sales, Operations, and Finance to resolve billing issues and support cash collection. Candidates should have at least 3 years in billing, strong attention to detail, and experience with SAP or similar ERP systems, plus solid Excel skills.

  • Ability to manage complex billing cycles and processes.
  • Experience with SAP or similar ERP systems is required.

Responsibilities

  • Deliver invoice, credit note, and billing volumes per SLAs and deadlines.
  • Validate inputs: contracts, POs, pricing, tax, data, docs.
  • Create accurate invoices and credits compliant with VAT and contract terms.
  • Manage e-billing and customer portal submissions, resolve rejections.
  • Monitor backlogs, prioritise high-value items, escalate risks.
  • Resolve billing queries with Sales, Operations, Credit, and Finance.
  • Maintain audit trails and supporting documentation.
  • Support pass-through cost billing with proper validation.
  • Perform billing checks, reconciliations, and housekeeping for AR.
  • Ensure compliance with internal controls and VAT invoicing rules.
  • Assist month/year-end billing, reporting, backlog management, audits.
  • Contribute to process standardisation and system improvements.

About The Role

The Billing Specialist is a full-time, permanent role within Finance Business Services, responsible for delivering accurate, timely, and compliant invoicing and credit note processing across an assigned billing portfolio. Reporting to the Billing Manager/Team Leader, you will manage end-to-end billing activities, ensuring invoices are issued right first time and in line with contractual, tax, and statutory requirements. Working collaboratively with teams across Sales, Operations, Credit & Collections, and Finance, you will help resolve billing queries, minimise disputes, and support cash collection performance. This is a hybrid role requiring strong attention to detail, experience in billing or finance operations, and the ability to work effectively in a fast-paced, deadline-driven environment.

Responsibilities
  • Deliver assigned invoice, credit note, and billing volumes in line with SLAs, billing calendars, and agreed deadlines.
  • Validate billing inputs including contracts, purchase orders, pricing, tax treatment, customer data, and supporting documentation.
  • Create accurate invoices and credit notes in compliance with contractual, statutory, VAT, and customer requirements.
  • Manage e-billing and customer portal submissions, resolving invoice rejections and processing issues promptly.
  • Monitor billing backlogs, prioritise high-value and cash-critical items, and elevate risks or blockers as required.
  • Investigate and resolve billing queries and disputes, working closely with Sales, Operations, Credit Control, and Finance teams.
  • Maintain accurate billing records, approvals, audit trails, and supporting documentation in line with company policies.
  • Support expense and pass-through cost billing, ensuring charges are correctly validated and supported by evidence.
  • Perform billing checks, reconciliations, and housekeeping activities to maintain accurate revenue and accounts receivable records.
  • Ensure compliance with internal controls, invoicing regulations, VAT requirements, and billing governance standards.
  • Support month-end and year-end billing activities, reporting requirements, backlog management, and audit requests.
  • Contribute to continuous improvement initiatives, process standardisation, system enhancements, and knowledge sharing across the team.
To Be Successful In The Role, You Will Have
  • A minimum of 3 years’ experience in billing, with proven ability to manage complex billing cycles and processes.
  • Strong working knowledge of SAP or a similar ERP system, with the ability to work confidently across multiple financial systems.
  • Excellent attention to detail, analytical skills, and the ability to work accurately under pressure while meeting deadlines.
  • Strong communication and stakeholder management skills, with the ability to resolve issues and build effective working relationships.
  • Advanced organisational skills with the ability to prioritise workloads, work independently, and manage changing priorities.
  • Good working knowledge of Excel, including formulas and pivot tables, as well as Microsoft Office applications.
  • Understanding of contract-to-billing processes, VAT/GST requirements, statutory invoicing regulations, and e-billing portals would be advantageous.
  • GCSE Maths and English (or equivalent), combined with a proactive, customer-focused mindset and a commitment to delivering high-quality service.

The guide salary for this role ranges from £28,050 - £33,000 per year. Your actual pay will be based on factors including your experience and expertise.
