Job Purpose

Responsible for client billing and payroll admin processes to manage day to day accounts activities.

Reporting to Directors and General Manager

The Role

1. Accountable for invoicing and payroll administration, including entering client billing hours and expenses.
2. General company bookkeeping.
3. Process invoices and follow up where appropriate with clients and suppliers.
4. Manage invoicing, billing, and collections processes.
5. Reconcile accounts and resolve any discrepancies in a timely manner.
6. Xero reconciliation of client payments.
7. Manage outstanding debtors.
8. Ensure that client and payee information is correct and updated on all platforms such as people planner and Access.
9. Prepare regular financial reports for management, highlighting key performance indicators and financial metrics.
10. Generate ad-hoc financial reports as required for decision-making.
11. Ensure accuracy and completeness of financial data.
12. Respond to finance queries of invoices and provide assistance on finance related matters to stakeholders, third parties and clients as needed.
13. Assist in the provision of financial data to support key business decisions including client prices, employee pay rates, pricing and contract terms with suppliers.
14. Purchasing of supplies and reconciliation as required.
15. Petty Cash Management and reconciliation.
16. Ensure compliance with Home Instead’s Equality, Diversity and Equal Opportunities Policy, in respect of employment and service delivery.
17. Carry out any other duties deemed necessary for the successful operation of the business.
18. Liaise with the company’s Payroll provider to ensure that accurate employee payroll information is supplied on time.

This role will be £28,000 full-time equivalent but we are looking for part-time staff to do 3 days per week.

Qualifications

Essential Criteria

1. Good Experience of working in a business finance environment.
2. Experience of an accounting package (e.g. Xero).
3. Strong organisational skills with the ability to multitask.
4. Self-motivated and able to work flexibly.
5. Excellent written and verbal communication skills.
6. Keen eye for detail and the ability to work accurately under pressure and timelines.
7. Strong team player with the confidence to work alone.
8. Flexible working pattern to meet business needs as required.
9. Ability to follow clear process and procedures with attention to detail.
10. Ability to work alone and as part of a team.
11. Good IT skills and experience of Microsoft Word, Excel and office software programmes.
