The Bid Writer will play a central role in securing new contracts by producing persuasive, high-quality proposals and tender submissions. Working closely with operational and commercial stakeholders, the successful candidate will be responsible for shaping the company’s written responses to pre-qualification questionnaires (PQQs), formal tenders, and client capability documents.

In addition to bid-related work, the Bid Writer will also contribute to the development of broader sales and marketing collateral, including website copy and other written projects as required to support the company’s growth and brand positioning.

The following list is designed to provide an indicative list of the key roles and responsibilities required to perform this job.

Bid Writing & Proposal Coordination:

The Bid Writer will work alongside the Commercial Director to prepare, coordinate and submit high-quality bids, tenders and proposals. This includes interpreting client requirements, gathering information from operational and commercial colleagues, and tailoring responses to demonstrate value, compliance and alignment with client expectations.

The Bid Writer will assist with the full bid lifecycle - from initial response planning through to submission - ensuring all documentation is professionally written, well-structured and delivered on time. The role requires strong attention to detail, excellent project management skills and the ability to work under pressure to meet strict deadlines. Staying up to date with industry trends and customer insights will be important to strengthen the positioning and messaging of all submissions.

The role will also include the management of tender portals and completing any Pre Qualifying Questionnaires that might be required, in addition to registering interest of a tender opportunities.

Marketing Content Support:

The Bid Writer will support the marketing team by contributing to written content that enhances the company’s profile and supports business development. This includes working alongside the Head of Marketing to shape clear, persuasive messaging across materials such as newsletters, brochures and sales collateral, as well as the company’s website and social media platforms. The ability to translate operational expertise into audience-friendly content is key.

Qualifications and Experience:

  • Proven experience in bid writing, tender submissions, and proposal development, ideally within sales, marketing, or business development functions
  • Strong writing portfolio showcasing persuasive, structured and client-focused content
  • Familiarity with Adobe InDesign, Canva or other design tools for formatting and presentation of written materials
  • An understanding of facilities management, with a particular advantage given to experience in the commercial cleaning sector

Skills:

  • Excellent written communication skills, with a focus on clarity, tone and tailoring for specific audiences
  • High attention to detail and strong proofreading/editing ability
  • Strong organisational and project management skills, with the ability to meet multiple deadlines across competing priorities
  • Creative thinker with the ability to adapt messaging across bids, marketing materials and sales collateral
  • Comfortable working collaboratively with commercial and operational teams
  • Self-motivated, proactive and able to work independently when needed
