Job description

As a result of Vital Energi's continued growth, we are looking for a Bid Coordinator to join our Solutions team based at our Head Office in Blackburn. This is an exciting opportunity to work in a growing sector of the industry.

About the role

You will coordinate bid-related work of the Solutions Team, ensuring that PQQs and tenders are submitted in a timely manner with the highest quality standards.

Key responsibilities
  1. Work closely with the Account Development Manager(s) to coordinate the tender process, effectively producing bids with multiple parties.
  2. Track critical dates including tender submission deadlines, pre-bid meetings, award dates, and clarification meetings. Coordinate the Solutions team to meet deadlines and highlight resourcing issues.
  3. Collaborate with the Account Development Manager(s) to set key bid milestones and submission dates, and track these via workflow software.
  4. Assist in writing, editing, formatting, and proofing responses.
  5. Integrate information from relevant managers to create formal proposals.
  6. Ensure timely submission of all tender responses, managing portal/electronic uploads or hard copies.
  7. Manage relationships with external providers for graphics, videos, and document preparation, coordinating with the Marketing Department.
  8. Create bid collateral templates and provide InDesign training for relevant personnel.
  9. Support the development of graphics and diagrams for tenders and presentations.
  10. Liaise with external clients during pre-tender and post-tender discussions.
  11. Coordinate the submission and circulation of clarification questions and RFIs. Manage the company CRM system (Zoho), ensuring it is up-to-date and generating reports.
  12. Maintain solutions department procedures, ensuring compliance with SHEQ directives.
  13. Capture best practices and lessons learned for future bids.
  14. Monitor customer e-portals daily for data collation and distribution throughout the tender process.
What you will need
  • A good academic record (preferably A–B grades at GCSE, including English Language) and A levels; a relevant degree is desirable.
