Job description

Job Details: A key role in a national, highly motivated and successful proposals team, which is entrusted with converting opportunities into won projects. Success in winning these projects depends on communicating our experience and approach in a concise, readable and persuasive manner, whilst retaining the integrity of the company brand.

The candidate will be able to take content from various sources and turn it into engaging documents and presentations. Therefore, either a background in tendering or graphic design would be preferable. It’s a fast-paced, deadline-driven environment and it’s important the candidate can demonstrate working under similar pressures. The ideal candidate will be literate and fluent in English and able to think laterally. Good communication skills are fundamental for the role, as well as the ability to build relationships.

Role & Responsibilities
  • Produce bid production activities for PQQs and non-strategic bids to a high standard, including reading and understanding client documentation, deadlines and submission requirements.
  • Support Bid Manager(s) where required on strategic and high priority bids.
  • Attend launch meetings with the Bid Manager(s), where required, to agree timetable / deliverables / contributors and win themes.
  • Support Corporate Social Responsibility team where required with marketing materials (such as case study design, capability documentation design etc).
  • Assist Bid Manager(s) with PQQ responses, working to maximise marks.
  • Co-ordinate proposal input from a variety of stakeholders - liaise with bid writer, manager, estimator, planner and delivery team to capture and build in key information.
  • Document creation, population, compilation and control.
  • Create all graphics required, including logistics/sequence drawings, bespoke covers and dividers, and graphics.
  • Coordinate proposal input from a variety of stakeholders, typically involving contributions from accounts, commercial, legal, risk and operations.
  • Proofreading of completed documents prior to dispatch.
  • Ensure all documentation adheres to editing and formatting standards.
  • Ensure timely submission and where necessary, document printing, binding and dispatch.
  • Prepare material for post-tender interview and responses, including interactive presentations, incorporating media such as film, flash etc.
  • Create project datasheets, case studies, infographics and site apps.
  • Ensure feedback is captured and stored within the project file, transfer bid outcome knowledge/lessons learned and gathered from feedback.
  • Work alongside the team to develop digital media and other creative initiatives.
  • Assist with the development of client presentations.
  • Assist in the development and management of Bid Library; maintain documentation, filing structures, review documents created by others to ensure consistency of format, ensure library is up to date and consistent.
  • Compile company project experience credentials documents, formatted CVs and capability statements, references and certificates.
  • Ensure that all electronic bid files are fully updated with all relevant documentation.
  • Champion document management and version control best practice.
  • Any other tasks within the Group Bid Team as identified from time to time and relevant to the role.
  • Develop the competency of themselves through a commitment to continuing professional development.
