Job description
Overview

We are looking for a full-time (37.5 hours per week) Clinical Pathway Manager to join our Outpatients Appointment Centre team at Enfield Civic Centre. You will be responsible for leading the Clinical Pathway Administrators and ensuring the smooth running of the patient’s journey from referral to discharge. The successful candidate will be involved in supporting other members of the Elective Pathway Team to promote good practice and in the delivery of training and awareness programmes. The post may require work across different hospital sites. This position is with the Royal Free London NHS Foundation Trust, one of the UK’s largest and most entrepreneurial NHS trusts, delivering care to a large patient population.

Responsibilities
  • Supervise the day-to-day work of the administrative teams.
  • Manage sickness/absence and recording of annual leave for the team, ensuring service delivery is not compromised, and coordinate duty rosters where appropriate.
  • Ensure ESR information including annual leave, sickness absence and changes in employment contracts for the administrative team are maintained in conjunction with HR and payroll.
  • Ensure equitable workload distribution across teams, with staff working flexibly to accommodate patient and clinician needs.
  • Manage the recruitment process for new staff with support from the assistant operations manager.
  • Coordinate and engage in the induction of new team members across the Trust, sharing knowledge of administrative processes.
  • Monitor individual and team performance regularly, holding 1:1 meetings and appraisals (SDRs) according to Trust Policy and team meetings.
  • Order and maintain agreed levels of stationery/non-stock items within budget and authorise orders where appropriate.
  • Report and coordinate maintenance work needed within the department.
  • Provide reasonable cross-cover for other administration managers and staff to ensure consistent service.
  • Process confidential patient-sensitive documentation to and from patients, other healthcare professionals and external agencies.
  • Set expectations regarding World Class Care customer service and ensure staff understand and maintain them.
  • Handle concerns/complaints appropriately, escalating to the appropriate manager when necessary for prompt action.
  • Conduct investigations regarding performance and conduct issues in line with Trust guidelines, with support from the relevant manager.
  • Review probationary periods in line with policy.
  • Ensure the team is compliant with mandatory and statutory training (MaST) and correctly trained in standard operating procedures and all relevant electronic systems.
  • Ensure bank/agency staff timesheets are submitted and actioned in a timely manner and manage the use of bank/agency staff cost-effectively.
Location and Requirements

The post will be based at Enfield Civic Centre as part of the centralised Elective Access Team. Flexibility to work across hospital sites may be required.
