Job overview

To oversee the waiting list and organise the issuing and booking of Clinical Measurements activity, including the associated administration. Provide and receive confidential and highly sensitive information in written, aural and verbal format, to be exchanged with patients, relatives, staff or external parties as required. To provide full administration support to identified outpatient sessions ensuring scheduling and coordinating clinic appointments within NHS DM01 targets.

Reporting to the Business Support Manager and working closely within the team of Consultants, Technicians, Secretaries and Support staff with responding to queries relating to the identified sessions and clinics. To liaise closely with the Operational Management Team to ensure Trust targets are adhered to. To work flexibly with other disciplines and external parties as required.

Please note that flexibility with regards to location will be as required by the needs of the service.

Main duties of the job

To provide a friendly and efficient service at all times for patients and service user enquiries (telephone and face to face) , adhering to the operational/customer care guidelines.

To be responsible for booking , organising and rescheduling appointments

Monitor the DM01 PTL ensuring that patients are booked via the CRIS system within the prioritised time period in line with DM01 standards.

Education & Qualifications
  • GCSEs grade D or above including Mathematics and English or equivalent
  • NVQ Level 2 or equivalent in Business/Admin
Knowledge and Experience
  • Minimum 12 months experience in a NHS environment in an outpatient asst/receptionist/coordinator role
  • Working independently to deadlines and targets
  • Knowledge of a broad range of administrative processes related to outpatients/day care
  • Knowledge of diagnostics service & understanding of admin processes relating to patients on DM01 & CRIS system
Skills and knowledge
  • Highly effective organisational skills
  • Confident communicator who can adapt to a wide variety of situations
  • Ability to work independently
  • Excellent verbal and written communications skills
