A healthcare organization in Swindon is seeking a Band 3 Clinical Services Administrator to join their Talking Therapies Administration Team. The role involves managing appointments, liaising with stakeholders, and providing administrative support with an emphasis on empathy and confidentiality. Candidates should have an NVQ 3 in Business Administration and strong IT and communication skills. Work hours are Monday to Friday, 9 to 5, with potential remote work possibilities.
We are looking for an experienced administrator to become part of the Swindon Talking Therapies Administration Team.
We are a friendly team and we are looking for someone who enjoys keeping busy, and is able to work well within a small team in a shared office space. Working hours are Monday to Friday, 9 to 5, from our base in Old Town Surgery, Swindon. There will be occasions where you will be required to provide cover and work across the BaNES and Wiltshire services, this will be remote working from Swindon.
There will be an expectation for the post holder to be highly motivated, flexible and multi-skilled with excellent organisational skills. You should have good working knowledge of all Microsoft Office systems including Outlook, Word and Excel. As well as being an excellent team player with good communication skills and the ability to prioritise, you should have a good understanding of information governance. Strong personal resilience is essential as well as an eye for detail and high level of accuracy.
This role involves administration duties as well as telephone based work and therefore the post holder needs to have excellent telephone and English language skills. Reception cover will also be required as part of this role. You will work closely with the other team members and will be expected to form good working relationships and share the workload, managed within the team.
Main duties of the role include being the first point of contact for clients who self refer into the service, which is mainly via telephone, and online, greeting clients in reception, taking personal details from people and uploading accurately onto the electronic patient record system, IAPTUS. You will book and re-arrange appointments, manage electronic bookings, cover reception, monitor the service mailbox, collate appointment letters and ensure that they are sent out in a timely fashion.
