We are seeking a highly organized and proactive administrator/co‑ordinator to support the Business & Legal Affairs ("BALA") teams in the UK (and internationally as appropriate) with the coordination, allocation, tracking and management of advice, contracts and business tasks across the team of BALA professionals. This is a key role in a busy and fast‑paced team that works across multiple brands and platforms including Channel 5, MTV, Nickelodeon, Comedy Central, Paramount+, and Pluto.
Key Responsibilities
- Act as the rights‑management coordinator and provide assistance as appropriate, ensuring the recording and reporting of rights across our systems is up to date.
- Support the paralegal and other team in setting up contracts on the commissioning WON system and entering basic right’s information as instructed.
- Assist in the administration of relicenses and reversions, subcontracts, and transfer runs. Amend/update WON in respect of any updates to our rights/clearances, as directed.
- Liaise with the Scheduling, Production Management, and Finance teams to ensure smooth programme delivery. This includes being the point of contact for any required reclocks and run transfers, as well as undertaking weekly platform functionality checks.
- Work with Finance to provide regular cost information and monthly run unbundling to ensure accurate and smooth programme reporting. This also includes working with the paralegals for VOD payment terms reporting.
- Support in responding to Press check queries.
- Track and manage all pertinent information relating to content, including, if required, working with the rights coordinators responsible for the rights management information tracking.
- Update the areas in WON, working in accordance with instructions from the team in respect of programme rights.
- Play a leading role in Ofcom reporting. Enter and update Ofcom data in WON for all commissions, internal acquisitions, and Milkshake! programmes. Complete monthly exceptions and validation checks, including configuring data into pivot tables and accumulating responses from other teams. Liaise with production companies to collect and check regional productions data and liaise with internal teams to verify validity of additional quota's data.
- Administer and communicate enquiries received through the team inboxes, particularly monitoring and responding to the Content Legal inbox, working with the Viewer Enquiries and Customer Support, commissioners, and producers, ensuring queries are appropriately re‑routed and effectively dealt with.
- Assist with dispute and litigation management by monitoring, sending, and collating correspondence and settlement agreements (including appropriate approvals), helping to maintain the litigation dockets for quarterly reporting, and assisting with costs tracking and budget management.
- Ensure training and support for all systems, databases, tools, and software used by the teams (iManage, AirTable, WON, SharePoint, Teams, Slack, etc.) and provide training across all systems.
- Assess team systems and implement ways to improve workflow efficiency.
- Keep the team Airtable slate up to date with all new programme information and any changes, running searches and reports when required. Liaise with Comm Eds and Production Management to ensure Content Legal are up to date with core programme information.
- Coordinate the outsourcing of legal work/advice – tracking outsourcing resource rates and spend.
- Manage invoices and overtime submissions.
- Respond to Ofcom Requests for information – liaising with Content Legal & Compliance; providing recordings, tracking, and updating the record of complaints.
- Support contract administration, including completion, record keeping and archiving.
- Liaise with teams and partners, providing updates and helping to move projects forward, ensuring the highest level of service is being provided to the business.
- Play a leading role in organising the annual SMBP event. Arrange correct set up across all systems and assist the induction of new team members and secondees.
- Provide leave cover for the Executive Assistant.
- Support the EA working closely and collaboratively to ensure the team runs as efficiently as possible, assisting with:
- Diary management
- Room booking
- Travel and expenses
- Ordering stationery and office supplies
- Post and deliveries
- IT/office service/facilities queries
- Events management and catering
- Team holiday calendar
Requirements and Qualifications
- Pro‑active, self‑starting mentality with a broad skill set to prioritise, coordinate, direct and deliver.
- Great organisational skills (for yourself and the people you support) and the ability to multi‑task, whilst demonstrating flexibility when required.
- Sound communication skills, both verbal and written, with an ability to assimilate information and disseminate it appropriately to audiences.
- Collaborative working experience and style.
- Creative problem‑solving with impeccable time‑management skills and an ability to adapt to change.
- Adaptable personal, interpersonal and leadership behaviours, tailoring the approach for different audiences.

- Interest in working within Business & Legal Affairs, rights management and/or below‑the‑line production activities.
- Able to work effectively, both independently and in harmony with all levels within the organisation.
- Expert level IT skills across all MS Office applications, with the ability to rapidly understand other corporate systems. Ideally skilled in Excel, PowerPoint, database, and project management.
