Job description

An opportunity for a part-time Administrator to join our friendly and supportive team. We are seeking a conscientious and reliable person to work as a Team Administrator at Epsom Community Mental Health Recovery Service, preferably two days per week, ideally Thursdays and Fridays.

We are a community-based service providing specialist treatment and support for individuals with severe and enduring mental health problems residing in the Epsom area and registered with a local GP. The post holder will be responsible for delivering high-quality administrative and secretarial support to the multidisciplinary team.

The ideal candidate will possess good organisational and interpersonal skills, attention to detail, and experience in a busy office environment. We value hard-working, flexible individuals who can effectively prioritise their workload.

The role includes general office duties such as inputting patient details into the electronic record system (SystmOne), supporting clinical staff, filing, photocopying, sorting post, scanning and uploading documents, liaising with patients, GPs, and medics, managing stationery and clinical supplies, taking meeting notes, handling enquiries via email, letter, and telephone, and typing correspondence. Excellent clerical and typing skills, along with effective communication abilities with patients and staff, are essential. Knowledge of SystmOne is desirable but not essential.

The main responsibilities include:

  1. Receiving and processing referrals.
  2. Processing discharge paperwork and updating the system accordingly.
  3. Typing all team letters.
  4. Booking appointments and updating case notes on the patient record system.
  5. Taking and transcribing minutes at team meetings.
  6. Answering calls and relaying messages promptly.
  7. Performing general admin tasks such as typing, copying, scanning, printing, and laminating.
  8. Supporting team members in setting up meeting rooms and checking/booking rooms as needed.
  9. Managing emails appropriately.
  10. Monitoring and raising purchase requisitions for supplies and services.
  11. Arranging clinic appointments.
