Job description

An opportunity for a permanent Full-time Administrator to join our friendly and supportive team. We are looking for a conscientious and reliable person to work as a Team Administrator at Woking Community Mental Health Recovery Service.

The post holder will be responsible for providing a high-quality administrative and secretarial service to the multidisciplinary team. The ideal candidate will have good organisational and interpersonal skills, an eye for detail, and experience in a busy office environment. We seek a person who is hardworking, flexible, and able to prioritise their work.

The role includes general office duties such as inputting patient details into the electronic record system (SystmOne), supporting clinical staff, filing, photocopying, sorting post, scanning and uploading documents, liaising with patients, GPs, and medics, managing stationery and clinical supplies, taking meeting notes, handling enquiries via email, letter, and telephone, and typing letters. The successful candidate will possess excellent clerical and typing skills and be able to communicate effectively with both patients and staff.

Main Responsibilities:
  1. Receive and process referrals.
  2. Process discharge paperwork and update the system accordingly.
  3. Type all letters for the team.
  4. Book appointments on the patient record system and update case notes as required.
  5. Take minutes at team meetings and transcribe accurately.
  6. Answer telephone calls and relay messages promptly.
  7. Perform general admin tasks such as typing, copying, scanning, printing, and laminating.
  8. Support team members in setting up rooms for meetings.
  9. Check and book rooms for other team members.
  10. Manage emails, including receiving, responding, and forwarding appropriately.
  11. Monitor and raise purchase requisitions for stationery, supplies, and services such as interpreters.
  12. Arrange clinic appointments.
