Job overview

An opportunity for Receptionist/Team Administrator Apprentice to join our friendly and supportive team. We are looking for a conscientious and reliable person to work as Team Administrator at Tandridge Community Mental Health Recovery Service.

The post holder will be responsible for the provision of a high quality administrative and secretarial service to the multidisciplinary team.

You will be required to complete a Level 3 Business Administrator Apprenticeship alongside your main day to day duties. You will be given one study day per week to attend remote learning. .

The duration of the programme is circa: 18-21 Months. (It might be 16 months, it could be 18 months, depending on learner)

Please note that you need to meet the Essential Criteria:
• Applicants must not hold a pre-existing qualification in the same subject area of Business Administration at Level 3 (e.g., A-Level/Diploma/T-Level) or above (e.g., Level 5 Foundation Degree, Level 6 Degree, or Level 7 Masters Degree).
• Applicants must not already be enrolled in any form of formal UK government-funded education.
• GCSE English and Maths: Grade C/4 and above or Level 2 Functional Skills English and Maths required or equivalent qualification.

Main duties of the job

• To deal with any visitors to the reception area in a professional and welcoming manner
• To ensure incoming and outgoing post and parcel deliveries are dealt with efficiently on a daily basis
• Answer telephone calls and relay any messages in a timely manner
• Check and book rooms for other team members upon request
• Scanning documents for uploading to patient record system
• Receive and respond to e-mails in an appropriate manner, forwarding where necessary
• To send, receive and monitor fax transmissions
• Administer the appropriate access tools, such as door fobs, car park barriers, keys etc. as required
• Ensure all visitors sign in and out of the relevant visitor book/system
• General administrative tasks such as typing, copying, scanning, printing, laminating etc
• Provide support to team members in setting up rooms for meetings
