PURPOSE OF POST

Eclipse Presentations Ltd is an industry leader in live event production, where we craft unforgettable experiences for clients through our cutting-edge audio-visual and scenic solutions. Currently, we're seeking a skilled and detail-oriented Technical Operations Manager to join our team at the Excel Conference & Exhibition Centre, London.

The purpose of this role is to manage and deliver operational support across the Excel venue, including storeroom oversight, meeting and event delivery, quoting, and team direction, ensuring all processes are efficient, safe, and aligned with company standards.

MAIN DUTIES & RESPONSIBILITIES

1. Storeroom & Inventory Management

• Maintain a safe, organised, and efficient AV storeroom.
• Conduct regular stock checks, arrange kit replacements, and oversee equipment maintenance.
• Implement and maintain a warehouse management system in coordination with the Head Office team.
• Liaise with Head Office for inventory system support and reporting.

2. Event Support & Meeting Delivery

• Lead and deliver AV setup for internal meetings across the Excel venue.
• Manage technical delivery for meetings in the North and South Galleries (up to 4 rooms).
• Deliver default Auditorium packages, including support during out-of-hours events as required.

3. Calendar & Planning

• Maintain an up-to-date production calendar for all confirmed and provisional events.
• Work closely with the Head Office to ensure seamless planning and scheduling for the venue team.
• Ensure clear visibility of upcoming events, allowing for effective cover and coordination.

4. Communication & Administration

• Maintain professional, timely communication with clients and internal teams.
• Ensure all relevant communications are shared with the central Excel inbox for transparency.
• File and document correspondence systematically.

5. Team Coordination

• Support and guide the venue’s AV Technicians, assigning tasks and ensuring timely delivery.
• Provide clear instructions and follow up on progress.
• Assist in the ongoing development and training of junior team members.

6. General Office Support

• Oversee day-to-day operational tasks related to the technical office, including coordinating with cleaners, restocking drinking water, coffee, and general office supplies.

• Well-maintained equipment and storeroom with clear systems in place.
• Smooth delivery of AV services for internal and gallery meetings.
• Efficient coordination and communication across teams.
• Proactive, supportive attitude towards team members and event needs.

Experience Required:

• Strong technical production capabilities
• 2+ years of events production experience
• Strong organisational and managerial skills
• Extensive technical knowledge specifically working with Lighting, Audio, Projection and LED
• Strong ability to work both within a team and independently
• Strong initiative and ability to troubleshoot under pressure
• Experience of managing other people advantageous
