Job Description:

Overview

We are seeking a highly organised and proactive Project Manager to oversee the full lifecycle of large-scale live events, from initial concept and design through to successful delivery. This role plays a critical part in ensuring events are delivered on time, within scope, and to the highest quality standards.

The Project Manager will monitor progress, manage risks, resolve issues, and drive project performance while minimising delays. They will lead the end-to-end execution of events, ensuring alignment with technical and production standards, and support the implementation of consistent processes and SOPs across all projects.

Collaboration is key. You will work closely with Sales, Operations, and fellow Project Management professionals to define technical requirements and communicate clear, actionable execution plans to all stakeholders.

Key Responsibilities:
  • Prepare and communicate technical production & labour schedules, sub-rental requirements, project scope, execution plan, and responsibilities to team members, vendors, and venue partners.
  • Determine and secure resources required for each project.
  • Maintain focus on client needs, attend client meetings, create organized documentation, and respond to client concerns.
  • Monitor project scope and adjust as necessary during planning.
  • Assist sales and operations teams with equipment needs and technical solutions.
  • Review sales documents to ensure technical requirements meet client needs.
  • Develop and maintain strong client relationships, providing outstanding service.
  • Provide leadership for technical teams during events.
  • Ensure all health, safety, and environmental documentation is in place before event execution.
Event Execution:
  • Act as project leader and onsite contact for clients.
  • Manage all phases of event technical execution.
  • Oversee inventory management during events.
  • Communicate project plans and expectations to the event team.
  • Manage onsite changes and modifications.
  • Mentor team members and promote best practices.
  • Ensure compliance with technical and production standards.
  • Adhere to all health and safety standards and ensure team compliance.
  • Follow up with clients onsite to ensure satisfaction and proper equipment setup.
Financial Management:
  • Assist in creating and managing project budgets.
  • Monitor event costs and communicate changes for billing.
  • Support post-event invoicing and vendor payments.
  • Ensure compliance with policies to minimize liabilities.
Administrative & Training:
  • Complete post-event reporting and documentation.
  • Participate in developing Project Management SOPs.
  • Review and analyze proposed events for improvements.
