Job summary

Unity Primary Academy is seeking a highly organised Attendance Officer/SEN Administrative Assistant to support attendance, SEND administration, and pupil well-being. You will work with families, staff, and external professionals to ensure consistent attendance and high-quality administrative support for SEND needs.

The role includes 2.5 hours per week of midday assistant duties and requires proactive, confidential handling of information within a supportive school environment.

Qualifications

  • Experience in a school environment preferred but not essential.
  • Strong ICT skills and confidence with Microsoft Office applications.
  • Experience using Arbor MIS is preferred but not essential.
  • Good understanding of attendance procedures and SEND processes.
  • Excellent organisational and administrative skills.
  • Excellent communication and interpersonal skills.
  • Confidentiality and professional handling of information.
  • Proactive, approachable and able to work independently or in a team.

Responsibilities

  • Oversee daily attendance, absence and lateness.
  • Monitor attendance and support identified pupils and families.
  • Support attendance strategies, including home visits where needed.
  • Attend review meetings with senior leadership to improve attendance.
  • Conduct parent contract meetings for persistent absence.
  • Support pupils with medical needs and liaise with staff and parents.
  • Attend wellbeing meetings and coordinate pupil support.
  • Cover lunch duty daily.
  • Update SEND records (manual and MIS) and SEND register.
  • Coordinate Looked After PEPs and required paperwork.
  • Generate SEND information from school databases.
  • Assist in producing Annual Reviews and other statutory paperwork.

About this Role

Unity Primary Academy is seeking a highly organised, dedicated and proactive Attendance Officer / SEN Administrative Assistant to join our friendly and supportive team. This is an exciting opportunity for an individual who is passionate about supporting children and families, ensuring excellent attendance, and providing high-quality administrative support for our Special Educational Needs and Disabilities (SEND) provision. The role also includes 2.5 hours per week of midday assistant duties.

The general duties for this role are to:
  • Be responsible for the daily oversight of all attendance, absence and lateness
  • Monitor and track attendance across the academy, including identified pupils who are of concern
  • Support parents with attendance strategies (this may include home visits to support positive attendance)
  • Attend review meetings with the Assistant Headteacher for Behaviour and Attitudes to review whole-school attendance and identify strategies to improve this.
  • Carry out parent contract meetings where pupils are persistently absent
  • Support pupils with medical needs and other issues which prevent full-time attendance by liaising with staff, parents/carers and other professionals to provide pupils with missed schoolwork.
  • Attend relevant meetings regarding the wellbeing of specific pupils
  • Cover a lunch duty daily
  • Update manual and computerised SEND record/information systems
  • Support the SENDCO to update and maintain the SEND school register
  • To co-ordinate Children Looked After PEP's including maintaining appointments, the completion of appropriate paperwork
  • To operate and maintain (electronic and hard copies) an effective system for filing of all SEND documents, ensuring that all legal data record requirements are maintained
  • To generate SEND information from our school database and other monitoring and assessment systems and procedures.
  • To support the production of the Annual Reviews, PEPs, and other statutory paperwork requested by external agencies.
The successful candidate will have:
  • Has previous experience working within a school environment (preferred) not essential.
  • Has strong ICT skills and is confident using Microsoft Office applications.
  • Has experience of using Arbor Management Information System (MIS) (preferred) not essential.
  • Has a good understanding of attendance procedures and SEND processes (desirable).
  • Has excellent organisational and administrative skills.
  • Has excellent communication and interpersonal skills.
  • Can maintain confidentiality and handle sensitive information professionally.
  • Is proactive, approachable and able to work both independently and as part of a team.
