About the Team

Proactively support the SG senior managers and project managers (PMs) in running and delivering an efficient and effective portfolio of projects through provision of PMO services.

Purpose of the Role

Provide PMO services to Spectrum Group strategic and multifaceted projects working in partnership with Senior PMO and Project Managers to promote best practice. Support projects through project life cycle by implementation of tools such as project monitoring of time, risks, resource, budget and actuals against plans.

Your key responsibilities

  • Prepare and deliver project documentation to high standards throughout the project cycle, by monitoring and updating the status of the PID, project plans, dashboards, action logs, dependency logs and resource forecasts.

  • Contribute to the PMO Teams overall development as a Centre of Excellence for project management within Ofcom by building in-house expertise, supporting the development of reports, tools, and solutions, documenting and sharing knowledge gained and evolving best practice for this area.

  • Provide guidance to established and new Project Managers by using a common set of templates and guidance documented in the Spectrum Group PMO Handbook.

  • Deliver robust and accurate project reporting to a variety of audiences using established reporting tools i.e., project activity templates.

  • Deliver effective risk management, by monitoring and updating programme risk and issue registers and challenging risk impact and mitigations.

  • Be responsible for the change control process, tracking change control requests and ensuring milestones and logs are updated.

  • Engage in stakeholder management including stakeholder mapping and communications planning.

  • Engage in project, PMO and governance meetings. Organise and facilitate meetings and capture key actions and decisions during meetings.

  • Responsible for tracking and updating project finance, assisting in budget control and procurement activities.

  • Set up new SharePoint page for project, if applicable, ensuring all project documentation is stored on Ofcom SharePoint in a structured and intuitive manner.

  • Assist in programme reviews, reports and governance.

  • Act as a subject matter expert (SME) for Project Managers and project teams in the event of a request, problem or query regarding governance, standards, project status and quality expectations.

  • Organise and assist in the facilitation of project meetings, both internal and external and track actions.

  • Provide support in facilitating PMO and governance meetings, including SET, SFTS, and resourcing sessions.

  • Provide appropriate administrative support to assist the team/directorate in the successful delivery of projects.

  • Strong knowledge of project management processes and fundamentals, with a proactive approach to creating efficient processes through continuous improvement, identifying solutions, and addressing issues as they arise while offering innovative ideas to enhance processes.

  • Strong skills in planning, project, and programme management, as well as problem-solving and analysis.

Pursuing Growth

  • Informed knowledge of the regulatory environment and spectrum management.

  • There are no specific mandatory qualifications required for the role however relevant knowledge and experience in project management, with additional qualifications in PRINCE2 or APM being advantageous.
