We currently have an exciting opportunity for an Associate Director – HR Operations to join our team in UK.

Purpose of job

Head of HR Operations & Resourcing is responsible for managing and overseeing the Group HR Operations and Resourcing provision, all end to end employee lifecycle events across multiple jurisdictions, managing the Group HR Operations and Resourcing teams ensuring all activities support the HR team in delivering client excellence and efficiencies to the Group. Whilst supporting the department and business in meeting its strategic goals, including the ongoing growth of the business.

Main Responsibilities and Duties

HR Operations

  • Responsible for the oversight and provision of the Group’s HR operational activities across multiple jurisdictions.
  • Lead and develop the HR Operations team, overseeing the delivery of an efficient and effective HR service, ensuring accuracy, KPIs, SLAs and departmental goals are met to support the ongoing growth of the business.
  • Proactively review and develop the HR Operations function, policies and procedures to ensure efficiencies are maximised and that it continues to meet business needs.
  • Ensure People@JTC and other technology is utilised to maximise efficiencies and improve the user/employee experience.
  • Overall responsibility for the integrity of the data in the People@TC system, ensuring regular data reviews and audits are run, analysis carried out and processes in place to ensure accuracy of data.
  • Oversight of the employee life cycle processes from pre-screening and on-boarding to exit, ensuring processes are followed and SLAs/KPIs met.
  • Co-ordinate the review and updates of handbooks and policies in each jurisdiction, ensuring these are published on People@JTC and that any changes/consultation processes are managed in line with legislation and best practice.
  • Ensure all employee related documentation are up to date and in line with group processes and legislation.
  • Maintain accuracy when handling either employee or company specific data and ensure that the integrity of process is maintained. Follow four eye check protocol and fully complete check lists as required, including providing assistance to other HR colleagues who need support with four eye checks.
  • Provide operational support where required to the HR business partners in the management of Employee Relations matters.
  • Provide expert knowledge and guidance to the HR Operations team on any complex employee related queries and documentation.
  • Support all activities in relation to Acquisitions, restructures and any other employee related events.
  • Oversight of absence management processes, such as Edays absence management system, carry forwards of annual leave, sickness absence reporting.

Resourcing

  • Overall responsibility for the Resourcing team across the Group, ensuring key SLA/KPIs are met.
  • Ensure all resourcing activities are carried out in line with process, that the candidate experience is of the highest quality and that they support the strategic aims of the Group.
  • Continually review how we manage and attract candidates, processes and initiatives to ensure we remain an Employer of Choice, working closely with BD& Marketing.
  • Ensure efficiencies are maximised through the use of media, technology and our People@JTC portal.
  • Oversight of resourcing reporting and analysis of key metrics such as time to hire, applications, etc.
  • Ensure hiring activities are managed within the appropriate jurisdiction Laws
  • Work with JTC Academy to deliver relevant training to all involved in the interview process and that best practice and legislation is followed.
  • Provide expert support where required on JTC Gateways (relocations and secondments) to ensure necessary visas and permits are obtained, work closely with payroll and benefits and ensure the necessary employee support is provided.

General

  • Monitor legislation for ongoing and proposed changes and ensure that any approved changes are built into the processes.
  • Manage relationships with relevant external parties.
  • Actively contribute and be a key member of a multi-jurisdictional HR team building effective working relationships to ensure procedures are accurately followed, allowing for continuity of service during busy periods or times of absence.
  • Uphold the professional standards expected of an HR practitioner and act as a role model of excellence with all clients, internally and externally.
  • Maintain the highest standard of confidentiality and security in terms of employee data and business information. Treat all HR data in line with GDPR and maintain an ongoing awareness of GDPR legislation.
  • Contribute to the wider HR team, supporting ad hoc projects, exchanging knowledge and supporting standards of good practice.
  • Develop self and maintain knowledge in relevant field at all times.
  • Consistently demonstrate JTC core values and expected behaviours.
  • Adhere to Risk & Compliance procedures in relation to regulatory requirements and AML legislation.
  • Adhere to CPD requirements in accordance with qualification level.
  • Any other duties as deemed necessary by Management.
  • 7+ years of experience in HR Operational/Transformation roles or similar within a Professional Services organisation, including experience in a leadership role.
  • CIPD Level 7 or Bachelor’s degree in business administration, human resources, finance, or a related field; Master’s degree preferred.
  • Excellent communication and interpersonal skills, with the ability to communicate complex information clearly and effectively to both technical and non-technical audiences.
  • Demonstrated ability to lead a team and work collaboratively with internal stakeholders across various geographies and cultures.
  • Strong project management skills, with the ability to manage multiple projects simultaneously and meet tight deadlines.
  • Strong attention to detail and a commitment to accuracy and quality.
  • Ability to maintain strict confidentiality and handle sensitive information in a professional manner.
  • Experience with HR Transformation/change management and HR systems.
