What you´ll do

The purpose of this role is to work with the Group CEO’s Principal Personal Assistant to ensure the CEO’s office runs smoothly and efficiently. You will be reporting into the Group CEO’s PPA.

We're searching for a proactive and highly efficient Assistant to work with the Group CEO's Principal Personal Assistant to support the CEO's office, ensuring that everything runs seamlessly. You will be a trusted, diligent, experienced, and ambitious professional who can anticipate needs, multitask with ease, solve problems, communicate effectively, pay close attention to detail, and work at speed while maintaining a calm and composed demeanour.

Providing full high-level administrative support to the Group CEO’s office on a day-to-day basis. This includes but not limited to:

  • Providing full support and cover to the Principal Personal Assistant
  • Taking ownership of some key activities including admin management of ExCo meetings including logistics, catering etc
  • Acting as point of contact and conduit for the CEO’s office - ensuring smooth interactions between CEO Office, internal teams and external partners
  • Organising and coordinating complex global travel arrangements including commercial and private flights, hotels, on-ground transfers, and visas, accommodation -handling last-minute itinerary changes, etc
  • Managing expenses, purchase requisitions, purchase orders associated with the CEO's office
  • Working closely with key stakeholders, internal and external including ExCo PAs, the wider PA community across the group, suppliers – CWT and private jet supplier
  • Supporting with the production of the Group Governance calendar; ensuring the calendar is kept up to date and changes communicated to the ExCo PA and wider teams
  • Assisting with managing the Group CEO’s LinkedIn account by filtering invitations to connect, managing complaints received into the account
  • Monitoring and managing all incoming complaints to the CEO’s office – in Mailbox and posted letters – logging the complaints as necessary
  • Creating and updating Group CEO’s Outlook contacts
  • Assisting with the organisation of Events / Conferences
  • Coordinating lifestyle personal appointments for the Group CEO
Who you are
  • This role is based in the Group CEO Office and requires being in the office five days a week, with some flexibility where possible. Some additional hours may be needed depending on business needs
  • Proven experience and confidence at successfully supporting Senior Executives
  • Strong discretion and confidentiality—this is a critical aspect of the role
  • Positive and can-do attitude, resilient with ability to remain calm when under pressure
  • Highly organised and ability to react quickly to changing priorities and situations
  • Ability to work on own initiative, collaboratively and across multiple time zones
  • Strong communication skills, both written and verbal. Good influencing ability, confident and assertive as appropriate
  • Showing a flexibility, enthusiasm, and diplomatic approach
  • Ability to build and maintain effective relationships and exhibiting behaviours conducive to Group CEO’s office and Vodafone culture
  • Demonstrates a polished, professional appearance
