Job description

The Assistant Project Manager works closely with the Project Manager and Superintendent to manage the day-to-day operations of construction projects. This includes planning, coordination, and communication with all stakeholders to ensure projects are completed on time, within budget, and to the highest quality standards.

Project Setup and Planning

  • Organize and maintain all project documents and drawings.
  • Create and upload a submittal registry to Procore based on specification requirements and drawings, reviewing with the project team prior to upload.
  • Fill out project details in Google Docs, upload project drawings and specifications, and create safety subsections in Procore.
  • Review and populate SharePoint folders with preconstruction documents, including RFPs, estimates, schedules, and certificates of insurance.
  • Establish and maintain project logs for tracking key information.
  • Collect and file permitting documents with the city/town, initiate check requests, pay for permits, and pick up approved permits.
  • Schedule safety meetings during project buyout and planning in coordination with the Director of Field Operations and Safety Director.

Subcontractor and Vendor Coordination

  • Assist with subcontractor and material supplier buyout strategies and negotiations.
  • Help prepare subcontract scopes of work and assist in the preparation of subcontracts and purchase orders.
  • Track compliance with subcontractor insurance requirements, joint check agreements, and other related document

Document and Financial Management

  • Log, track, and review shop drawings, submittals, and Requests for Information (RFIs).
  • Manage submittals, RFIs, drawing updates, and change orders using Procore and other tools.
  • Initiate and track change events in Procore and follow up with subcontractors for pricing.
  • Assist in tracking labor and carpentry costs, preparing PCOs, and managing owner change orders.
  • Monitor subcontractor change orders and ensure timely updates to project logs.
  • Assist with collection of subcontractor billing documents and assembly of monthly requisitions.

Stakeholder Communication

  • Serve as a liaison with owners, architects, engineers, and subcontractors to facilitate communication and resolve questions or issues.
  • Draft and distribute Weekly Meeting Minutes for Owner and Subcontractor meetings.
  • Coordinate meetings with subcontractors and distribute revised drawings as needed.
  • Take and distribute weekly project photo & video updates.

Scheduling and Field Support

  • Assist in the development of project schedules and provide narrative updates as needed.
  • Attend regular meetings with the Superintendent, subcontractors, and vendors to ensure compliance with schedules, safety policies, and contractual requirements.
  • Maintain updated plans for field staff (hard copies and Procore).
  • Oversee document control, punch lists, and responses to design team field reports.
  • Manage the distribution of testing reports and provide site coverage as needed during projects.

Regulatory Compliance and Safety

  • Manage the building permit process and ensure regulatory compliance throughout the project lifecycle.
  • Conduct training sessions on OSHA 10/30, HAZWOPER, and other safety related topics.

Procurement and Logistics

  • Manage the submittal process and track material lead time to ensure timely delivery.
  • Follow up on insurance, lien waivers, and fabrication/delivery status of materials.

Project Close-Out

  • Obtain and track subcontractor warranty certificates.
  • Create and assemble close-out manuals for completed projects

QUALIFICATIONS:

  • Bachelor’s or Master’s degree in Engineering, Construction Management, or a related field required.
  • Minimum of two years of experience in construction or project management.
  • Strong interpersonal, communication, and organizational skills.
  • Proficiency in construction management software (Procore, Microsoft Project, Bluebeam, Adobe Acrobat).
  • Ability to prioritize tasks and work effectively in a fast-paced environment.
  • Demonstrated commitment to excellence and continuous improvement

WORK ENVIRONMENT & PHYSICAL REQUIREMENTS:

  • This is an onsite/office position with travel to jobsites.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
