Job description

To provide assistance, and take direction from the Practice Manager with regards to leadership and management of the entire dental team in order to ensure that the practice operates efficiently, both from a logistics and financial perspective, to ensure in PM absence, leadership across the team is maintained along with ensuring the practice functions to optimum efficiency, and all other systems and protocols are adhered to in line with company strategy, goals and values.

- This is a Dual site role, covering two practices: Truro & St Austell

- We are looking for somone to work 32 hours per week, across 4 days (Monday, Tuesday, Thursday, Friday 8am - 5pm)

Operations & Managerial:

· Full awareness and support of achieving practice income and patient targets

· Ensure financial efficiency of the practice within budgetary constraints

· Ensure a safe, clean and professional environment for patients, colleagues and third-party contractors. Ensure practice clean and tidy at all times

· Support with growth and marketing of existing and new services including social media (Facebook/Instagram)

· Support Head Nurse to manage stock to agreed levels and budget (using preferred suppliers)

· Ensure compliance with CQC, HTM01-05 and any other regulation/legislation required to run and maintain a dental practice

· Oversee users of clinical system to ensure using correctly. Provide training where required

· Ensure practice correspondence is distributed appropriately

· In PM absence, maintain management of practice reporting to OM

· Banking / financial duties as agreed with PM

· Completion of weekly / monthly business reports

· Monitor and efficiently deal with debts

· Deal with emails and requests

· Attend PM Meetings in absence of PM (If relevant)

· Carry out other tasks as directed by the PM

Customer Service:

· Monitor and ensure first class patient journey is followed by all team members

· Manage private leads into the practice via Dengro

· Ensure collation of practice surveys, follow up with feedback and actions

· Proactively deal with complaints and report progress to PM

· Proactively assist in growth of consumable sales

· Ensure record management and confidentiality is maintained at all times

· Provide support to the Reception team, covering as and when required

· Provide support to the Nursing team, covering as and when required (if GDC registered)

People:

· Provide support for all team members whilst proactively dealing with issues

· Lead by example and motivate the team to work together, allowing each team member to reach their individual potential as part of that team

· Maintain a professional manner when dealing with team members

· Reporting all issues of importance to PM (day diary)

· Assist in recruitment and induction of support staff

· Mange absence and time keeping across the whole team

· Cascade and check for understanding of all communication to team

· Ensure all CQC / Cross Infection / H&S requirements are observed and followed by practice team at all times

· Support PM with appraisals and team development, providing 1:1 training where required

· Support in other HR type meetings / investigations

· Comprehensive understanding and adherence of the HR Manual and application of policies and procedures in order to manage people issues consistently and fairly.

Budgetary responsibilities:

The role holder will support the Practice Manager to manage the practice budget.

People responsibilities:

The role holder will support the Practice Manager in managing Associates and employed team members in their absence.

Person Specification

- Proven experience in a supporting role within the healthcare industry

- Experience of handling people issues to a satisfactory outcome ·

- Working knowledge of how a dental practice operates ·

- Experience within the Dental Industry

- Experience within a NHS practice, with understanding of the mechanisms of private dentistry and specialist service provision.Offer first class levels of customer service to all patients and visitors

- Be confident and have the gravitas to influence and advise stakeholders at all levels

- Be a growing leader – provide support to the team in absence of PM demonstrating unity, motivation and inspiration for the team to succeed.

- A can-do, enabling attitude and comfort with ambiguity; adaptable to different situations and flexible towards working pattern.
