Job description

The Referral and Booking Service Department comprises small teams working within specialties. They are responsible for the registration and booking of patients for Outpatient appointments at Leeds Teaching Hospitals NHS Trust, based at St. James's.

The post holder will provide a high-quality service in line with Trust standards and be able to communicate sensitively and effectively with a wide range of people, including medical staff, patients, and colleagues. They will support the Business Service Manager (BSM) and the Business Manager (BM) in delivering the services for the Directorate.

The post holder will be required to coordinate the day-to-day activities of a busy patient administration team and clerical staff, with the ability to organize and motivate their team to meet targets and uphold the Leeds Way Values: Patient-Centred, Collaborative, Empowered, Accountable, and Fair.

The Assistant PSC will manage their defined areas within the Directorate, prioritizing work, developing staff, reviewing working practices to ensure departmental efficiency, and ensuring effective communication structures. They will ensure compliance with legislation regarding Health & Safety, Data Protection, and Confidentiality.

Please note: The hours of work are Monday to Friday, 37.5 hours per week. The post holder may be required to work at other sites if necessary.

Main Duties of the Job

The Assistant PSC will manage their designated areas, prioritize work, develop staff, review practices, and ensure compliance with relevant legislation. They will also support the Patient Services Coordinator and the Business Manager in delivering the Directorate's services.

They may be required to work outside core office hours.

Job Responsibilities

The Assistant PSC will deliver high-quality services aligned with Trust standards, communicate effectively with a range of stakeholders, and support the Directorate's service delivery.

They will manage their areas, prioritize tasks, develop staff, review practices, and ensure compliance with legislation regarding Health & Safety, Data Protection, and Confidentiality.

Staff Supervision includes coordinating daily activities of administrative staff, maintaining communication, participating in recruitment, fostering cooperation with internal and external staff, reviewing staffing levels, training and supervising team members, and conducting performance reviews.

Service Management involves managing waiting lists, ensuring patient appointments meet NHS targets, collecting data, conducting audits, maintaining information systems, and supporting data management and troubleshooting.

The role also includes handling patient inquiries professionally, monitoring administrative processes, managing complaints, and performing general administrative duties.

Additional duties at a comparable level of responsibility may be allocated as needed. The postholder must comply with all relevant regulatory standards.

Experience
  • Thorough knowledge of patient Administration Processes
  • Experience in staff management, including recruitment and retention
  • Proficiency in Microsoft Office and email technology
  • Organizational and time management skills, with appreciation for confidentiality
  • Previous secretarial/administration experience, with customer service skills
  • Understanding of NHS/Trust protocols and policies
