Job summary: The Assistant Operations Manager will work with the Operations Manager to ensure the effective deployment of staff, premises and IT resources to deliver high quality patient services across the 5 PCN Practices Surgeries.

The Assistant Operations Manager will lead on line management of the Prescribing Hub and non-registered ARRS Staff, whilst the Operations Manager will lead on the management of all other staff. The Assistant Operations Manager will be expected to deputise for the Operations Manager whenever necessary.

Connexus Primary Care Network brings together five GP Practices serving 50,000 patients in the Brislington, St Annes, Knowle, Totterdown and Stockwood areas of South Bristol. The PCN is located in South Bristol locality of BNSSG and employs a small staff team that is responsible for delivering a range of services under contract with NHS England.

Job responsibilities
  • Manage the recruitment and selection process for new staff in conjunction with relevant clinical team leads and practice staff, including advertising, interviews, safeguarding/ DBS checks, references and issuing formal job offers and contracts.
  • Plan and co-ordinate the delivery of the induction process for new staff, in conjunction with relevant clinical team leads and practice staff
  • Ensure the delivery of a workplan including probationary targets agreed in conjunction with relevant clinical team leads and practice staff
  • Support the clinical leads in the facilitation of a timely probationary review and confirm in post or set targets for improvement if necessary, in conjunction with relevant clinical team leads and practice staff
  • Manage requests for annual leave and study leave, ensure these are recorded as necessary according to the PCN Processes.
  • Manage and monitor the annual statutory/mandatory training programme for all Prescribing Hub Manager and Non-registered ARRS Staff including organising sessions with external providers, ensure these are recorded as necessary according to the PCN Processes.
  • Manage staff sickness and return to work processes, ensure these are recorded as necessary according to the PCN Processes and in conjunction with relevant clinical team leads.
  • Advise and support the relevant clinical team lead supervisors and/ or Clinical Director, to ensure good communication on ongoing performance and swift measures to address any concerns about performance.
  • Advise and support the appropriate clinical team lead supervisors and/ or Clinical Director to ensure the completion of timely completion of annual appraisal reviews, and complete annual training needs analysis.
  • Work with the appropriate clinical team lead supervisors and/ or Clinical Director to implement agreed processes where there are disciplinary, capability, sickness and/ or grievance issues.
  • Convene, organise and facilitate team meetings for appropriate staff including learning events and the PCN education series
  • Provide updates to staff on changes to policies and procedures.
  • Respond to queries and support requests on HR matters from staff in a timely manner
  • Work with or deputise for where required, the Operations Manager to organise staff away days and social events
  • Deputise for the Operations Manager when needed, with the appropriate clinical team lead supervisor or Clinical Director, to manage staff performance including annual reviews, discipline and grievance issues.
  • Complete exit interviews and handover procedures at the end of a period of employment.
