Description
As an Assistant Depot Manager, you will oversee all day-to-day activities in the depot, liaising directly with the Depot Manager to ensure all client KPIs are met and the depot functions in a profitable, safe manner.

Key Responsibilities

  1. Supervise all operatives to ensure a high standard of work is maintained.
  2. Continuously update the Ops Board and Insphire to ensure all jobs are completed electronically.
  3. Carry out Mod+ Form site-specific checks on site setups to ensure safety and compliance.
  4. Perform daily checks on ‘Daily Vehicle Check’ forms & review ‘Weekly Gang Check’ forms every Monday to ensure fleet compliance. Liaise with Fleet for maintenance and repairs.
  5. Complete log books for all IPV & 7.5T vehicle activity.
  6. Complete the ‘Weekly Yard Check’ every Monday to ensure depot compliance with customer & GTM requirements.
  7. Ensure the completion of 1 site audit per operative per month with the Depot Manager to ensure LRQA compliance.
  8. Ensure 24/7 call out service is available via the Rota system. Complete night handover emails accordingly.
  9. Provide out-of-hours Duty Manager assistance as per the rota. Ensure weekend handover is completed and passed to the Regional Manager.
  10. Deliver team compliance briefs with the Depot Manager. Provide input for Monthly/Bi-Monthly Team Briefs for Support Services Manager.
  11. Handle and return all ‘Speeding Forms’ and ‘Recharges’ within the week.
  12. Liaise with Depot Manager regarding kit levels.
  13. Complete weekly ‘Damaged Plant Report’ every Friday.
  14. Complete ‘Owned / Hired’ heads report every Monday, Wednesday & Friday.
  15. Conduct quarterly stock takes of all assets. Manage inter-depot transfers and complete Bi-weekly Plant Sheets.
  16. Work with the Depot Manager on staff recruitment, inductions, training, and probationary reviews.
  17. Manage disciplinary procedures in collaboration with the Depot Manager.
  18. Liaise with clients regarding site queries and support TM Operatives. Maintain good client relationships.
  19. Check and submit timesheets weekly every Monday.
  20. Resolve pay queries for operatives.
  21. Manage holiday diaries and update the Ops Board and Mod+ for PAYE staff.
  22. Attend client site visits and complete site surveys.
  23. Collaborate with Business Development and Commercial Teams on quotations.
  24. Identify jobs requiring subcontractor assistance, ensure applications are correct and in accordance with bookings.
  25. Review Invoice Runs as provided by the Regional Back Office Manager.
  26. Participate in weekly P&L calls with the Commercial Team and Regional Manager to monitor depot performance.
  27. Assist RBO Team with CAD/site sketches as needed.
  28. Respond to TMA queries in collaboration with the RBO Team.
  29. Report HR issues to the Depot Manager and assist in their resolution.
  30. Manage all ‘Events’ from start to finish, including attendance to ensure safety and high standards.

Experience and Qualifications

  • Lantra 12A, B, C, D, 002, 010
  • Preferably Lantra LTMO or TSCO
  • Full clean driving license
  • Experience in reading and relaying information on Utility Drawings
  • Experience using CAD to generate TM drawings
  • Auditing experience or training qualifications are an advantage
