Job description

To support the purchasing team in sourcing, selecting, and purchasing products or materials. Involves transactional aspects of acquiring goods and services to fulfil immediate needs for sales order, maintaining supplier relationships, tracking inventory levels, and ensuring timely delivery of goods. Assist in negotiating prices, managing purchase orders, and analysing sales data to make informed buying decisions that align with the business needs and budget. Ensuring the smooth and efficient operation of the procurement process.

Responsibilities
  • Transactional aspects of acquiring goods and services. Sourcing one-off requests to fulfil immediate needs and creating products for sales orders.
  • Managing and monitoring orders and inventory levels to ensure timely delivery and adequate stock.
  • Providing administration support to the Procurement Manager.
  • Purchase Order Raising including Special Order & Direct Delivery orders.
  • Managing Order Acknowledgments and updating the ERP accordingly.
  • Purchase Order Chasing & Expediting - Escalating where necessary - highlighting any supply chain delays in advance of any stock outs becoming an issue.
  • Liaising with suppliers regarding supply chain issues, delivery discrepancies and invoice queries.
  • Build and maintain strong relationships with suppliers to negotiate the best prices and terms.
  • Working with cross-functional teams in relation to any changes to products such as discontinuation, changes in specifications, pack sizes etc.
  • Managing Support Cases directed into Purchasing.
  • Assist the Procurement Manager to negotiate, agree, manage, and measure supplier performance against SLAs.
Key Performance Metrics
  • OTIF - maintaining / improving OTIF (min 92%).
  • STOCK AVAILABILITY - maintaining / improving availability (min 97%) (ABC Product).
  • SAVINGS - Contribute to Savings / Cost Avoidance.
  • Support Cases - Resolving Stage 1 Cases within 24 hours.
Requirements
  • Proven experience in Purchasing or similar role.
  • Proficiency in the Microsoft Office suite, specifically Outlook & Excel.
  • Good understanding of supply chain processes.
  • Support the Procurement manager.
  • Ability to work both independently and collaboratively in a team environment.
  • Excellent communication and interpersonal skills.
  • Excellent administrative experience.
  • Analytical and negotiation skills.
  • Previous experience using an ERP (Netsuite) would be desirable.

8:00am - 4:30pm with an unpaid 30-minute break, with some flexibility.
