Job summary

The ASR Group® family of companies is seeking an Assistant, Business Services to provide high-quality administrative support to a designated client group. You will manage calendars, coordinate travel, handle expenses, and support procurement and events as part of a close-knit team reporting to the Manager, Business Services.

Ideal candidates will have proven admin experience in fast-paced settings, strong communication, and proficiency with Microsoft 365 tools.

  • Proven experience in administrative/executive support roles in fast-paced environments.
  • Strong planning and organisational skills with ability to manage multiple priorities and deadlines.
  • Experience using Microsoft 365 tools (Outlook, Teams, Word, Excel, PowerPoint) and related travel/expense systems.
  • Experience applying AI/technology to business solutions.

Responsibilities

  • Provide dedicated administrative support to an assigned client group, acting as the first contact for day-to-day coordination.
  • Manage complex calendar scheduling, meeting logistics, and room bookings.
  • Coordinate travel arrangements (air/rail/hotel/ground transport) and support pre-/post-trip administration.
  • Prepare, submit, and track expenses and purchase requests, chase approvals and resolve queries.
  • Support procurement and vendor activities and maintain records.
  • Plan and support team events, offsites, and meetings (agendas, materials, catering, coordination).
  • Draft and distribute routine communications for leaders/teams with clarity and appropriate tone.
  • Maintain organised digital filing and documentation.
  • Collaborate with the wider Business Services team for cross-functional support and knowledge sharing.
  • Identify opportunities to improve administrative processes and raise risks or pain points to Manager, Business Services.

4 Days in the office: 2 days at Bedford Street, and 2 days at Thames Refinery (E16 2EW)

OVERVIEW

The Assistant, Business Services provides high-quality administrative and operational support to a dedicated client group, ensuring day-to-day business activities run smoothly and efficiently. Reporting to the Manager, Business Services, each Assistant owns primary support for an allocated group while working as part of a close-knit team that provides proactive cover during absences, peak periods and business-critical activities as well as support to business-wide ad-hoc projects when needed.

DETAILED ROLES & RESPONSIBILITIES
  • Provide dedicated administrative support to an assigned client group, acting as the first point of contact for day-to-day coordination and requests.
  • Manage complex calendar scheduling, meeting logistics, and room bookings as required.
  • Coordinate travel arrangements (air/rail/hotel/ground transport), prepare itineraries, and support pre- and post-trip administration.
  • Prepare, submit, and track expenses and purchase requests in line with company policy; chase approvals and resolve queries promptly.
  • Support procurement and vendor activities (e.g., requisitions, goods receipting, invoice queries) and maintain accurate records.
  • Plan and support team events, offsites, and business meetings, including agendas, materials, catering, and on-the-day coordination.
  • Draft and distribute routine communications on behalf of leaders/teams, ensuring clarity, accuracy, and appropriate tone.
  • Maintain organised digital filing and documentation, ensuring information is easy to locate, up to date, and handled appropriately.
  • Collaborate with the wider Business Services team to deliver business-wide support needs, share knowledge, standardise ways of working, and ensure seamless cover across client groups.
  • Identify opportunities to improve administrative processes and templates; raise risks, issues, or recurring pain points to the Manager, Business Services.
WORK EXPERIENCES
  • Proven experience in an administrative, executive assistant, or business support role within a fast-paced environment, where strong planning and organisational skills with the ability to manage multiple priorities and deadlines was demonstrated
  • Experience and working knowledge of Microsoft 365 tools (e.g., Outlook, Teams, Word, Excel, PowerPoint) and relevant travel/expense/procurement systems.
  • Experience of adopting and applying AI/technology to business solutions
  • High attention to detail with confidence handling data, documents, and processes accurately.
  • Excellent written and verbal communication skills, with a professional and service-oriented approach.
  • Proactive, resourceful, and able to anticipate needs and resolve issues independently.
  • Comfortable working as part of a team, including providing and requesting cover and sharing workload transparently.
