TheAbdominal Medical and Surgery CSU are seeking to recruit a full time (37.5hours) permanent, highly motivated, and enthusiastic Assistant BusinessManager to join our team in Leeds. Abdominal Medicine and Surgery is thelargest CSU in the Trust, and we aim to deliver the highest quality servicefor our patients. Main duties of the job

Thisrole will involve leading a team to meet performance targets with regards tocancer targets, 18 weeks RTT. The successful candidate should have knowledgeof the Leeds Teaching Hospitals Access Policy and be able to apply this topatients on the waiting list. There will be aspects of HR and staffmanagement within this role so previous experience within these areas wouldbe beneficial. We are looking for someone who is enthusiastic and proactivewith regards to quality and service improvements. This role will be part of alarge team and have the of support of Business Manager.

Job responsibilities

COREBEHAVIOURS AND SKILLS

Thepost-holder is expected to be an enthusiastic individual, able to championservices within the Leeds Teaching Hospitals Trust. The post holder will havea determination to ensure the Trust meets national targets, quality measuresand other initiatives. The post holder will have a commitment to bothstrategic overview and operational detail to ensure all standards andobjectives are met. The post holder will be open to gathering information onissues which relate to all teams and be willing to share this informationwith others.

Thepost-holder will be a supportive manager for the Business Unit Team andproactively offer professional line management support to administrativestaff and other managers and healthcare professionals requiring or seekingsupport.

Thepost holder must be able to work on his/her own initiative, takingresponsibility for making appropriate decisions and actively seeking outopportunities for involvement in the agenda within the Trust. The post holderwill also work as part of a team, providing leadership and creating a teamapproach to the collaborative delivery of objectives. The post holder willwork closely with the CSU Team to ensure the Trusts agenda is developedappropriately. The post-holder will be expected to display a supportive/facilitativerole to meet national imperatives or local improvements in service delivery.

COREKNOWLEDGE AND UNDERSTANDING

Thepost holder should have excellent written and verbal communication skills andthe credibility to facilitate relationships with colleagues and

seniormedical staff. A self-starter capableof working on own initiative he/she should be able to work with a wide rangeof staff from different specialties.

PRINCIPALDUTIES & AREAS OF RESPONSIBILITY

Leadthe CSU Administration Team, taking responsibility for the work produced through the offices.

Devise,develop and implement staff reviews and other manpower planning strategies.

Ensurekey objectives are met as agreed.

Facilitateregular administration team meetings to maintain effective communication.

Agreewith each member of staff personal objectives following an annual appraisaland organise training where appropriate.

Monitorindividual progress against these objectives, offering direction and support where necessary.

Ensureaccurate records are kept in the service area.

Thepost holder will be responsible for managing sickness, attendance, conduct,performance and any disciplinary issues and taking these to hearings withinTrust Policies.

Ensurethat the appropriate recruitment and selection of staff takes place.

Beresponsible for collating personnel information on the team and submit personnel data as required.

Ensurethat staff within their responsibility undertake and maintain mandatorytraining as indicated within Trust Policy.

Thereis a requirement for cross site working.

Monitor the departmental budget, pay and non pay for all non clinical

Servicesas delegated by the Business Manager for the Business Unit Purchasing and authorising expenditure onnon clinical items where required.

Authoriseand process expenses for over 200 medical staff in the department.

Helpplan, evaluate and recommend the use of resources within the department.

Monitorand use administrative/non clinical resources appropriately.

Authoriseteam members time sheets/holidays as required.

Overseeand monitor the non clinical supplies ordering and procurement as delegatedensuring value for money.

OPERATIONALMANAGEMENT

Assistin non clinical risk management working within the risk managementpolicy. Undertaking annual audits andmaking improvements where required.

Evaluate,prioritise and review demands of the service and monitor capacity to delivermaking changes to the processes where necessary.

Workwithin Trust policies, procedures and guidelines.

Workingwith Human Resources to ensure that the appropriate recruitment and selectionof medical staff takes place.Monitoring medical staff sickness developing a reporting mechanism forSalaries & Wages.

Helpto develop, monitor, evaluate and review service delivery workingcollaboratively with the CSU Manager, Service Manager, Business Manager,Matrons, Theatre Managers and senior medical colleagues.

Workclosely with Theatres to ensure the delivery of a safe and efficient service.

Maintainthe link between this team and other CSUs.

STRATEGICMANAGEMENT

Undertakereviews of the service as required to ensure the most appropriate pathway isadopted.

Withthe, Service Manager and Business Manager undertake service development andsupport the senior team in planning support for corporate aims andobjectives.

identifyingopportunities in conjunction with the CSU Managers to improve

Servicedelivery.

Makerecommendations to raise standards of service delivery

COMMUNICATION

Developand maintain communication between AMS and other CSUs

Establishsystems to ensure that the dissemination of information flows freely betweenTheatres & Anaesthetics and the service users.

Workclosely with the Surgical team, developing a cohesive strategy forcommunicating to all relevant staff across the Trust.

Producedata/activity and statistical reports to a high standard as required by themanager.

Ensurehigh standards of administrative record keeping in the department..

Beresponsible for providing reports on a variety of issues pertaining toAnaesthetic services and presenting these at relevant meetings as required.

Collateinformation and disseminate as required.

Ensurethat the Theatre Management System is kept up to date and that theinformation is accurate.

Allstaff are responsible for working with their colleagues to maintain andimprove the quality of services provided to our patients and other serviceusers. COMMUNICATION& WORKING RELATIONSHIPS

Thepost holder will display a high level of communication skills with members ofthe Surgical Oncology Team establishing appropriate processes to ensure theeffective and smooth running of the team. The post holder will also beexpected to establish effective systems of communication across the trustmanagement divisions and beyond the trust, crossing organisational boundariesto enable a co-ordinated approach to the delivery of the service.

i)PHYSICAL EFFORT:

Sittingat work station for long periods of time

ii) MENTALEFFORT:

Thepost holder is expected to report on many surgical related issues. This canmean prolonged concentration for report writing, two or three times a week atleast. Participating in key meetings(one or more/week on average) also requires considerable mental effort.

Frequentmental effort is required in managing multiple priorities.

Resolvingrota and scheduling problems requiringprolonged and intense concentration to identify solutions.

iii)EMOTIONAL EFFORT:

Asa manager of a team of staff who is also professionally responsible there isthe possibility that they may be required to lead personnel discussionsetc. Carry out staff consultations dueto the re-configuration of services which may require support staff duringthe transition.

Directmanagement of staff dealing with conflict, staff moral, conduct anddiscipline.

iv)WORKING CONDITIONS:

Regularuse of a keyboard and VDU while being subjected to constant interruption.

Exposureto infrequent episodes of aggression and over assertive behaviour fromservice users.

Thepost holder may be required to travel between hospital sites.
