Assistant Business Centre Manager – Gloucestershire

Job Opportunity: Business Centre Assistant
Full-Time

About the Role:
We’re looking for a dynamic and customer-focused individual to join our clients team as a Business Centre Assistant. In this front-facing role, you’ll be an essential part of the day-to-day operations, delivering exceptional service and ensuring the smooth running of theirBusiness Centre.

Key Responsibilities:

Front of House Duties

Greet visitors and provide a warm welcome to all Business Centre guests.

Offer refreshments and manage meeting room hospitality for tours and appointments.

Develop and maintain strong relationships with customers and guests.

Handle incoming mail, deliveries, and manage virtual office services.

Oversee visitor access, including access cards for customers, guests, and contractors.

Maintain accurate logs for visitors and contractors for safety and compliance.

Assist with onboarding new customers to ensure a seamless move-in experience.

Address and resolve any customer concerns regarding services, facilities, or IT issues.

Customer Experience & Community Engagement

Enhance the customer journey by strengthening client relationships.

Coordinate community events and encourage customer participation.

Promote networking and identify collaboration opportunities between businesses.

Support marketing initiatives such as the “Refer a Friend” program.

Oversee car park usage, charges, and space allocations.

Monitor and replenish refreshment and event supplies.

Manage bookings and invoicing for ancillary services (meeting rooms, coworking, etc.).

Encourage positive reviews and manage customer feedback effectively.

Operational Support

Maintain a high standard of cleanliness and presentation across communal areas.

Supervise contractors and ensure cleaning and maintenance tasks are completed.

Support the upkeep of meeting rooms and marketing collateral.

Order office supplies and monitor stock levels.

Track and report Health & Safety activity using internal systems (training provided).

Contribute to energy efficiency and ESG-related initiatives.

Business Centre Management (BCM) Support

Deputise for the Business Centre Manager when required.

Organise engaging on-site activities for staff and customers.

Support social media content creation and online engagement.

Answer incoming enquiries and manage call handling.

Maintain up-to-date availability lists, pricing, and newsletters.

Offer support to other centres within the region when needed.

Drive additional income through promotion of services such as telecoms, furniture, cleaning, meeting rooms, and mailbox services.

Identify opportunities to upsell and expand services to existing customers.

Conduct site tours and assist with sales enquiries.

Help manage and grow their social media presence.

Key Skills & Experience:

Excellent interpersonal and communication skills

Natural problem solver with a proactive approach

Sales-focused mindset with the ability to spot opportunities

Confident using Microsoft 365 and general IT systems

Professional telephone manner

Well-presented, approachable, and enthusiastic

Adaptable and flexible to changing needs

Full UK driving licence (clean)
