Job description

The role

Responsible for assisting the Building Manager in delivering effective and compliant facilities management services through in-house staff, suppliers, and consultants. This includes managing both hard and soft services for a single building.

Responsibilities
  1. Assist in preparing, monitoring, and reconciling the service charge budget.
  2. Check and approve expenditure against the service charge budget.
  3. Provide excellent customer service to internal and external clients.
  4. Maintain effective communication with clients and tenants.
  5. Supervise site-based staff, ensuring adherence to all policies and procedures.
  6. Coordinate with internal teams such as Property Management, support functions, and the wider Real Estate business.
  7. Monitor and audit work conducted by suppliers, measuring performance against SLAs.
  8. Manage suppliers to ensure safe, effective, and compliant delivery of M&E services, including life safety systems, vertical transportation, and public health systems.
  9. Procure goods and services following company procedures.
  10. Assist in preparing management reports and participate in management meetings as needed.
  11. Conduct regular building inspections, document reports, and initiate necessary works.
  12. Support Building Manager in ensuring compliance with health, safety, and environmental legislation.
  13. Participate in local environmental initiatives to meet statutory and industry standards such as ISO14001.
  14. Ensure adherence to internal procedures and policies, including procurement, finance, compliance, and HR.
  15. Maintain robust security and emergency procedures, actively participating in emergency situations.
  16. Complete administrative tasks, including system use, filing, and inventory management.
Person specification
Qualifications/Key Skills
  • Membership or Associate Membership of IWFM.
  • Managing Safely certification by IOSH.
Experience
  • Previous experience in a similar role.
  • Understanding of commercial leases and landlord-tenant relationships.
  • Knowledge of service charge budgets and accounting principles.
  • Strong health, safety, and environmental knowledge.
  • Basic understanding of mechanical and electrical services.
  • Excellent written and spoken English skills.
  • Proficiency in MS Office and relevant software (e.g., Meridian, Proactis, Snapshot, Tramps).
